SCE Events Calendar

The calendar shows SCE specific information about planning needs and timelines. This includes deadlines, reminders of upcoming planning periods, school meetings, and other info.

SCE Event Planning

Planning an event involves, at minimum, Program Leadership, Program Administrators, and significant conversation in advance. In certain cases other parties will be looped in for logistical, legal, or promotional reasons. Please begin these conversations with as much information as possible.

General Considerations

    • What is the purpose of this event/How does it align with Parsons/your program's goals?
    • Is this a public event (because it is open to the public or I am working with an external partner)? Or, is it internal to a program or school?
    • What is the total duration of the event (including estimated time for set-up/break-down)?
    • What do I expect the total attendance will be?
    • What sort of furniture arrangements will I require?
    • What sort of technology (microphones, projection, etc.) will I require?
    • Do I plan on offering catering for the event? If yes, what is my funding source?
    • Do I plan on serving alcohol for the event? If yes, who will check for legal drinking age?
    • Are there external speakers from outside Parsons who I will need to pay?

Making an Event Request

If you are requesting an event, contact your Program Administrator to support you in planning by sharing the following information:

  • Event Name:
  • Event Type: e.g. Public lecture, Meeting
  • Sponsoring Organization: if applicable
  • Expected Head Count:
  • Start date and time:
  • End date and time:
  • Space preference:
  • Speaker names:
  • Any additional requirements (certificates, catering, AV services, etc.): actual requests for these items need to be placed with each department separately
  • Lengthy Event Description:

If you are working with an external partner, the external partner must provide a Certificate of Insurance (COI). For more information on when/why a COI is necessary, please see Certificate of Insurance (COI) Policy.

Event requests are not guaranteed and are contingent upon room availabilities, staffing availability, budgetary considerations and program director and/or dean approval.

Requests should be made 4-8 weeks in advance of the event.
