New hire self-onboarding walkthrough
Steps new hires need to make in order to successfully register the employment to local authorities.
Hello and welcome to MEWS!
Congratulations on your decision to join us! We're confident you'll love your time with us and we're equally excited to have you started as soon as possible.
Before we get to your first day at MEWS, we're going to need your help to collect the personal data required in order to register your employment with local authorities and process your pay.
You'll find (if you haven't already) that at MEWS we love using tools and software that automate tasks and processes for us. We've designed this walkthrough to help you navigate the process of interacting with some of the tools we use for onboarding and managing our new hires.
BambooHR
We use BambooHR as our HRIS (Human Resources Information System) and single source of truth for employee related-data. As soon as your profile is created in BambooHR, we will send you a New Hire Packet using BambooHR.
You should receive an invitation looking like this over email:
To begin with the process you will have to click the "Get Started" button in the email, to reach this next screen where you will be asked to create a password:
Once you've created the password for your BambooHR account, you'll reach the self-onboarding platform, where we'll expect you to go through three stages:
When & Where: get information about your first day at MEWS and the contact details of the people who will help you onboard.
- New employee info: here you will be asked to fill in fields with your personal data. It's very important that you check the input carefully, as we use this information for important official acts such as social security registration, etc.
Rest assured the information will solely be used for the purpose of administering your employment with MEWS and access to this data is strictly limited to essential members of our team that are directly involved in people operations & admin.
Don't worry if you're missing some optional elements - like a radiant picture of yourself 📸; you can add that in later 😊!
Bank Information Input:
We connect data across multiple systems to automate payments and reporting, therefore it's extremely important that you input the bank account information with care while following these rules to ensure we can process your payment:
please delete all spaces in your IBANs and SWIFT/BIC codes or bank accounts
please delete any dashes in your bank codes (especially if you're from UK or AU entity)
🔎What is IBAN and where do i find it?
An International Bank Account Number – or IBAN – is used worldwide to identify individual accounts, it consists of up to 34 alphanumeric characters. You can usually find your IBAN by logging into your online banking, or checking your bank statement.
🔎What is SWIFT Code and BIC Code?
SWIFT and BIC codes are used all over the world to identify bank branches when you make international payments, ensuring your money gets to the right place. You can usually find your bank's SWIFT/BIC code in your bank account statements. You also can use a SWIFT/BIC finder to get the right coder.
Local Entity rules for bank accounts
Depending on your employment location & account type, the fields you need to fill may differ. Use the following table to correctly fill your bank account information according to you employment location:

- Tasks to complete: here you will find different forms and small tasks you need to complete before joining. These may vary based on your location and leadership responsibilities.
A very important task you should pay extra attention to is the "Papaya Payroll Form" task. This task will contain information regarding our payroll provider Papaya Global, who will reach out to you directly to complete onboarding with them (applicable unless you're based in the US🇺🇸).
You will be asked to fill in additional information and upload copies of identification and declarations required for processing payroll in your specific region or country.
Please be sure to complete the onboarding request from Papaya fully and accurately by the due date of the task. Failing to do so will delay mandatory payroll registrations with local authorities, and may also have an affect on your start date with Mews.
Once you've completed your onboarding with Papaya, please mark the checkbox complete in the self-onboarding task list:
Save & Finish
If you've completed all the steps, there's nothing left to do but hit the "Save & Finish" button.
Note that if certain required items are missing, the button will remain Grey and will not be available.
Required fields are marked with asterisks ( * )
Other required items are considered forms that need your signature. Check the items with a "Sign Now" note in the preview.
Keep in mind that you don't have to finish everything in one session. You can always use the "Log Out & Finish Later" button with the same name in the top-right of the window.
However, please make sure you complete the self-onboarding in a timely manner.
In most locations we are required by law to perform employee registration prior to the actual start date, and that can't be done without the required data within the self-onboarding.
