Stakeholder Register

Overview

Whether you're putting together a Knowledge Council, conducting a Knowledge Audit, or working on assembling a Governance Workshop, it's important to get the right people in the room.

This worksheet can help you take a look at everyone involved with your Guru team today and find the people most suited to help you with your project. Ideally, you want:

  • At least one representative from each department using Guru,

  • Who has a lot of influence on their team, and

  • Who has a positive attitude regarding Guru and knowledge management.

How To Fill This Out

For every person you are considering, record:

  • Their name

  • Their department

  • How many cards they verify

    • `Detailed steps on how to find this data below

  • How many Guru activities they had last month

    • Detailed steps on how to find this data below

  • Their influence on a scale from 1-5

    • Use your own judgment or ask others on their team

    • 1 = they have no influence, none of their decisions get turned into action

    • 5 = people listen to them and ask them for help

  • Their attitude towards Guru on a scale from 1-5

    • Ask them how they feel, and think about how they've referred to Guru in other places (Slack, meetings, etc)

    • 1 = they hate Guru and rarely use it

    • 5 = they encourage others to use Guru as much as they do

How to Find the Data

Number of cards verified

  1. Export all cards from Card Manager

    1. Make sure you have Author access in every Collection, or else you won't see every card

  2. Open that export (in your email) into a tool like Excel or Google Sheets

  3. Make a Pivot Table to show the count of all cards broken out by Verifier. You'll want to start filling out the sheet wiht the people who verify the most cards. In Google Sheets, it would look like this:

    In this example with the cast of HBO's His Dark Materials, I'd want to start out filling out the sheet for Ariyon Bakare and Ruth Wilson, and I'd want to figure out who's in charge of the Magisterium (good luck with that!).

Number of Guru Activities

  1. Head to the User tab of Guru Analytics

  2. In the Usage by User table, on the column from the previous month to sort in descending order. This will show you the people who use Guru the most, many of whom are probably good candidates to add to your register.

  3. If you want to explore more, download the Usage by User table by clicking on the thre dots

  4. Choose these settings:

    1. CSV

    3. Formatted

    4. All results

  5. Open the downloaded CSV in a tool like Excel or Google Sheets so you can search for users, sort, and create pivot tables.
