Asana Workflow

We use Asana to help us organize tasks within our team. In order to get the most out of Asana, we need to have a system that works for all of us. We are each in charge of our own and some have already developed a rhythm to keep up with each of those projects. However, there are some To-Do items that don't exactly belong to a specific project that we need to assign to an individual. Some of these tasks come from 1:1 meetings, Team Meetings or self reminders.

In order to keep track of our responsibilities and tasks, we are working on a system. It is not set in stone as it will adapt to how we use it but to start, we need to understand some features, tags and workflows so that we can collaborate in a uniform way.

We are goin to start with the following two teams; Make sure to move them up to the top for easy access.

We will use this to keep track of action items that come out of 1:1 meetings and team meetings. These action items may not be related to projects you are already in charge of. If an action item was assigned to you and you did not attend a meeting, you will get a confirmation on Slack.

Meeting action items will be reviewed in team meetings weekly. A new template will be used for each month.

Please read the description for every task you have been assigned and use comments to communicate questions and progress.

  • Tasks will be added to the corresponding week of the meeting
  • We will review and follow up on each task the following week
  • Completed tasks will automatically go to the "Completed" Section
  • Pending tasks from the previous month will appear on "Previous Month Pending" so that they are not forgotten.
  • Urgent: Creates Revenue
  • High: Role dependent (The completion of your task will help someone else complete theirs)
  • Medium: Customer Service
  • Low: Internal Management

All tasks will start as Not Started

When you get assigned a task and you've seen it, you will change the status to viewed. Update the status as you work on it.

On hold: If you have too many tasks on your plate and the assigned task is low priority, you may put the task on hold. If so, make sure to comment on the task with a reason. We want to make sure you feel like your workload is fair.

✅ Individual Checklist:

When a task has been assigned to you, it will automatically appear on your individual checklist.

They will appear on your "Requests" section

Check daily for requests.
