Integrating AllianceHCM's ATS with job sites

Objectives:

Integrate your AllianceHCM applicant tracking system (ATS) with the job sites Indeed, Snagajob and ZipRecruiter. This will share your job postings on these popular job sites while also making sure candidates apply within the AllianceHCM ATS, which is a part of AllPay.

With this integration, you can manage candidates and the hiring process from within AllPay instead of across multiple job sites.

This integration will eliminate the need for manually creating and managing job postings on multiple job websites.

Once this integration is set up, you will create new job postings, edit existing postings, close postings, see applications and review candidates from within AllPay. You will use the job site to boost any positions or make changes to your job site account/profile.

You must have an XML integration between a job site and your AllianceHCM ATS to manage your candidates and job postings within AllPay.

💡Good to know: Your company must be using the ATS from AllianceHCM for this integration to work. If you don't have the ATS within your AllPay environment, please contact your customer success manager. Similarly, you must have an existing account with a job site (Indeed, ZipRecruiter, and/or Snagajob) in order to integrate with the AllianceHCM ATS.
The integrations are based on an XML URL. Once the integration is set up, any changes you make within AllPay will be reflected on the job site within 24 hours.

Creating an XML URL for multiple ATS portals

If you have multiple ATS portals and want to integrate them with a job site, you can create a single XML URL that includes multiple portal identifiers.

You must have a separate XML URL for each job site. For example, if you want to integrate multiple ATS portals with Snagajob and with Indeed, you must create an XML URL for Snagajob and another for Indeed.

For each XML URL, you need to:

  1. From AllPay, copy the Job Board XML URL text for the job site you are focused on from each portal and paste into Notepad. This should leave you with a Notepad file with multiple XML URLs in it, and all the XML URLs should be for the same job site (for Indeed, for Snagajob, or for ZipRecruiter)
  2. Identify the portal name in each URL. It's the text that follows the equal sign after the text "portalname"
    • For example, in this URL, the portal name is "jenniferbookkeeping":
    https://www.hralliance.net/Apply/Feed.aspx?portalname=jenniferbookkeeping&vendor=ZipRecruiter
  3. Consolidate all of the portal names into one XML URL, separating each portal name with a comma (but no space)
    • Example single portal URL for ZipRecruiter:
    https://www.hralliance.net/Apply/Feed.aspx?portalname=jenniferbookkeeping&vendor=ZipRecruiter
    • Example multiple portal URL for ZipRecruiter:
    https://www.hralliance.net/Apply/Feed.aspx?portalname=jenniferbookkeeping,DANDA,FMI&vendor=ZipRecruiter
  4. Provide this XML URL to your job site representative
    • Your job site representative should put the XML URL into a web browser, and when the page loads, right click and select View Page Source. That will provide the information needed to create the integration.

Help and troubleshooting

How do I make sure my XML URL and integration are working correctly?

Provide your XML URL to your AllianceHCM ATS portal(s) to your job site representative and follow their guidance on setting this up within their specific job site. The integration should be working properly when a candidate clicks on "Apply" within a job site and is taken to your AllianceHCM ATS portal to fill out an application there. The integration will also be working properly when you can create a new job posting or make updates to posting or close a posting within AllPay and the change is reflected on the job site within 24 hours.

My job site account manager said the link doesn't contain any data.

If someone copy/pastes the link into a browser window, it may not display correctly. However, if the person then right clicks on the page and chooses View Page Source, then they can see all of the data formatted for the integration.

I want the DBA or another field to show up rather than my currently listed company name.

  1. Within AllPay, open the Onboarding menu from the top navigation and choose Portal Setup section under the Applicants column

  2. Select a portal and click on More Options

  3. Choose what you would like to display from the Company Display Name drop-down

  4. Be sure to click on Save from your options along the top right
