One-Time Certificate of Insurance (COI) With Tulip

Procedure- Incoming or Third-Party Certificates of Insurance (On Campus Activities/Events or Space Use)

The New School requires a certificate of insurance to be provided in advance from any outside organizations or vendors who come on campus to perform work, provide services, or use University facilities.

Although the university should make efforts to work with partners that already have insurance, an uninsured external organization may still partner with The New School on certain events, with the purchase of a one-time COI. Organizations may get a one-time COI from a third-party vendor, at their own expense. External organizations may choose their insurance provide. However, the university's preferred insurance provider is Tulip. An exception would include the City of New York which is a self-insured entity. The Offices of the General Counsel and Asset and Risk Management Department reserve the right to cancel any event which has not provided the proper insurance.

External parties requiring a one-time COI through Tulip, should take the following steps:

  • Click on Tulip link: https://tulip.ajgrms.com.
  • Click on Coverage
  • Review list of covered activities
  • Review list of ineligible activities
  • Click on Quick quote - Start New quote
  • Fill in all the required fields
  • State it will held: New York
  • Select Entity: The New School
  • Dates: Input dates of the event *(PC Command: multiple days hold down shift and click the days) (MAC Commands: hold down Command key and select days) *
  • Average Daily attendees: Only does to a whole number
  • Type of Event: if event is inside The New School - (Meeting Indoors) if outside The New School (Meeting Outside)
  • Excess Coverage: 5 million always
  • Exhibitors or Performers: you have the option to request extra coverage
  • If alcohol will be sold during an event select "Y". Additional liquor liability is required. if there will be no alcohol or there will be alcohol free of charge, select "N". No additional liquor insurance needed.
  • You will get a quote
  • Please go ahead and fill out your Payment Method

Note for International Partners without insurance

International third parties wishing to partner with the university are also required to provide a COI, meeting the required coverage thresholds. International third parties who are uninsured can purchase a one time COI from an insurance provider of their choice. For those wishing to purchase a one-time COI from Tulip, they should contact COI@newschool.edu first to make arrangements as Tulip may require a US address and domestic payment method.

Uninsured International Third party submits signed agreement for event/activity and requests Tulip coverage from COI@newschool.edu

  1. Third party provides the following information:
  • Official name per agreement
  • Average daily attendance
  • Dates of event
  • Will alcohol be sold at event Y/N
  • Description of type of event

2. Will there be other vendor, exhibitors, or performers covered Y/N: If yes provide the

following:

  • Number of Exhibitors
  • Number of Concessionaires (no food sales)
  • Number of Concessionaires (with food sales)
  • Number of Attractions (performers)

3. A&RM will provide a Tulip quote. Third Party will make payment to The New School using one

of the following payment methods

4. Once payment to TNS is confirmed, eProcurement will purchase the COI using TNS credit card.

5. A&RM will email COI to the third party and grant approval for event

Certificate Requirements

The certificate of insurance must comply with the below requirements:

  1. Named Insured: The Named Insured producing a certificate of insurance must be the same as the entity entering into any agreement or partnership with The New School.
  2. Primary Coverage: Such insurance must be primary as to any other valid and collectible insurance.
  3. Additional Insured: You must name: “The New School, its trustees, officers, employees, agents, students, and volunteers as Additional Insureds on the commercial general liability policy by endorsements.” * (This will automatically be added on the COI, as we have instructed Tulip to always have this verbiage)*
  4. Contractual Liability: There MUST be a written contract or agreement between the party and The New School submitted along with the COI. The written contract or agreement must include the university's insurance requirements. Activities/Event Contract Template should not be used for facilities/maintenance or technology/professional services.
