This card offers Nox Group employees clear instructions for signing in and bringing guests to The APEX. It highlights the importance of all users completing waivers prior to entry and reminds employees to oversee proper conduct at all times. The card outlines a simple check-in process using Verkada Pass, with step-by-step guidance for checking in solo, with registered guests, or with new guests—including minors and first-time visitors. Throughout, it emphasizes employees’ responsibility to respect the facility and ensure guests are always accompanied during their visit.
🗻 Purpose
The purpose of this card is to show you (the employee) how to sign in at The APEX by yourself or with your guests.
🏌️ Scope
This is for anyone who has signed the employee APEX waiver and the process of brining guests into the facility.
📃 Roles and Responsibilities
As an employee of Nox Group and user of The APEX:
- Treat the facility with respect
- Clean up after yourself
- Return items to their original place
- When you bring guests:
- Be present with your guests at the facility
- Ensure guests follow the rules
- Follow the Guest Check-In process
- Assist guests with signing the waiver if needed
🚩 ATTENTION:
- As an employee you must accompany all guests to The APEX.
- All Nox Group employees and their guests must check in before using any APEX facility, including the Game Room, Recovery Room, and Gym Area.
- Guests may not enter alone or use your Verkada info in lieu of your presence,
🗝️ Key Terms or Definitions
- Host: Nox Group employee who is accompanied by guest. Guests need to be accompanied by their host at all times.
- Verkada Pass: A digital key on your phone (work and/or personal) that lets you unlock The APEX door once you’re authorized to access.
- Host Search Bar: A feature in Verkada Guest that lets visitors quickly find and select the Nox Group employee they are being accompanied by at The APEX.
- Minor Guest: Any person under 18 years old

👣 First Time Employee Check-In
Follow these steps to gain access to The APEX (employees only)
You must sign a waiver to utilize The APEX
- Follow this link or follow the QR code above the iPad in The APEX lobby labeled First Time Employee Check-In
- You will be directed to apply to join The APEX
Application for Access
- Enter your work email (e.g., j.doe@noxgroup.us)
- Enter your full name (e.g., John Doe)
- Take a profile photo - please ensure this is work appropriate (fully clothed, from the neck up).
- Sign the APEX Employee Waiver

- Click Finish once you've confirmed all your information is correct
Confirmation of Request for Access
- A member of the Wellness Team will review your application, and you’ll receive an email once it’s approved. Please allow 1–2 business days for processing.
- Once you receive your approval email, you can add your check-in pass to your personal phone's Apple or Google Wallet for easy access.
Acceptance Email
- Optional: If you add your check-in pass to Apple or Google Wallet, we recommend turning off notifications to avoid constant reminders at work. Tap the three dots in the top right, select Notifications, then choose Automatic Updates Only.
Even if you previously had APEX access, all Nox Group employees must complete these steps as part of the new system. If you have any questions, please contact a Wellness Team member. An email with full instructions has been sent to all employees.
🏋️♂️Employee Check-in
If you already have access to The APEX, please follow these steps to check-in.
Scan the QR code on the iPad for mobile check-in or click Employee Check-In on the iPad
- Enter your work email address and click next

- When prompted with “Does everything look good?” review your email and full name for accuracy. If everything is correct, click Finish.

- When the screen displays Thank you for signing into The APEX your check-in is complete!

Once you have APEX access, you can sign in using your employee email by scanning any of the available QR codes: the one on the bottom-right corner of the iPad, the one posted above the iPad, or the one listed QR Code Check-In at the top of this Guru card.
👣 First Time Guest Check-In
Have your guest(s) follow these steps to gain guests access into The APEX.
- Click Guest Check-In
- Enter your phone number or click use email instead to enter your email

- Take a profile photo – Please ensure it is appropriate: fully clothed and framed from the neck up.
- Enter the name of the employee you are accompanied by (your host)

Confirmation Page
Once your guest completes their initial check-in, they will receive a welcome text and/or email containing: a copy of their signed waiver, a link with their guest details, and a timed pass for entering and exiting The APEX while accompanied by their host.

Please remember: While guests may use the door unlock feature when onsite with their host, they are never permitted to be in the facility alone. Failure to comply may result in loss of APEX access.
👣 First Time Minor Guest Check-In
Have your minor guest(s) follow these steps to gain guests access into The APEX. To help things run smoothly, please register your minor guest(s) before arriving at The APEX.
- Follow this link or follow the QR code above the iPad in The APEX lobby labeled First Time Minor Guest Check-In
Application for Access
- Enter minor's email address if they have one - if minor does not have an email address, please use parent/guardian's email address.
Parents/guardians may use the same email for multiple minors, but each minor must be signed in under their full name, using either their own email or the parent/guardian’s email. The email used to create the account will be required for every sign-in.
- Type full name of minor guest
- Parent/Guardian needs to fill out Parent/Guardian Questionnaire

Are you the parent or legal guardian of the minor, and do you hereby authorize and permit the minor to access and utilize the APEX services? (yes/no)
Do you acknowledge and confirm that the information provided on the previous screen regarding our child or minor is true, accurate, and complete, and that the email address and name supplied are mandatory for all future check-ins at The APEX? (I agree/I disagree)
Do you acknowledge and agree to ensure that a Nox Group employee will always serve as the host for your child's or minor's visit, which may include yourself if you are a Nox Group employee or another Nox Group employee who is an acquaintance? (I agree/I disagree)
- Print Parent/Legal Guardians full name, click Next then Done.

Please note: While the Guest Minor Welcome Email includes a QR code, it cannot be used for sign-in for guests. Each time, the guest minor’s full name and either their own email or the parent/guardian’s email (whichever was used during sign-up) are required for check-in.

- Scan the QR code on the iPad for mobile check-in or click Check-In for Minors (under 18) on the iPad.
- Enter minor's or parent/guardian's email address that was used during sign up. Click Next

FAQ
How many guests can I bring?
As long as they follow the above process, have a signed waiver on file, and you sign them in every time you bring them, there is no limit to the amount of guests you can bring (as long as it does not interfere with other employees being able to use the facility).
Can my guests be at The APEX without me?
No.
What do I do if I don't have access to The APEX door but have signed a waiver?
