How to Process an Adjustment or Reversal of a UB Transaction

Step 1: Select Utility Billing

Step 2: Select Processes

Step 3: Select Account Transactions

Step 4: Select Account Transactions Entry

When Processing an Adjustment:

  • Select “Add New Data” (located on the toolbar at the bottom right side of the screen)


  • Enter the account number or select the “magnify” glass to find and select the account
  • Enter the amount (if it’s a credit be sure to include the “-“ before the amount. Ex: -20.00)
  • Enter Transaction Code = A
  • Enter the Service Code (Input the correct service code in the field box that you are making the adjustment towards)
  • Enter a Comment (*** Mandatory*** This explains why the adjustment is being processed)
  • Enter Consumption Amount = (the consumption amount should reflect the amount that is being adjusted in the unit of measurement of the service)
  • Check the box for “Check if adjustment does not relate to billing”
  • Select “Submit” (located on the toolbar at the bottom right side of the screen)

When Processing a Reversal:

  • Enter the account number or select the “magnify” glass to find and select the account
  • Enter Transaction Code = RV and hit the Tab key on your keyboard
  • Select the 2nd magnify glass at the bottom of the page (a new line of field boxes will appear when you input RV and Tab to the next field)
  • The transaction history screen will appear in a new box, Select the “Select” by the amount you are reversing
  • Enter Comment (*** Mandatory*** This explains why the reversal is being processed)
  • Select “Submit” (located on the toolbar at the bottom right side of the screen)

Note: You should see the Total Due automatically adjust at the Top of the Screen.

*** Remember: You CANNOT reverse a payment that was processed in Cash Receipts. It must be voided in Cash Receipts. *
