Guru Launch Information & Resources

We're thrilled to introduce you to Guru, the university's new employee knowledge base! Many years in the making, this comprehensive, easy-to-use tool will centralize information and collect and preserve institutional knowledge, policies, and procedures. Read on for an introduction to the knowledge base, helpful resources, and upcoming trainings to help you begin using this new tool.


Meet Guru

Guru is a knowledge management tool used to organize institutional knowledge in customized collections by unit, department, or college so you have the verified information you need all in one place. Guru can be accessed using the web application (app.getguru.com) or Google Chrome browser extension after registering with your New School SSO credentials.

Guru will contain all university policies, step-by-step instructions for university procedures, links to internal forms, FAQs, institutional announcements, and more. Some of our favorite features include:

  • Search and find information for all departments using the AI-powered Ask Guru tool.
  • Summarize and translate information using Assist for Readers.
  • Confirm information in the knowledge base is correct and up-to-date by reviewing each card's verification status.
  • “Pin” your most-referenced collections to your personalized dashboard and “favorite” useful cards to add to your library.

Who Has Access to Guru

As of May 2024, all university faculty and staff including contingent consultants and temporary workers have received access to Guru. All new faculty and staff will automatically receive instructions to login using SSO credentials via a separate email from Guru (notify@getguru.com).

Please note that students and student workers do not have access to log into Guru. If you need to share information in Guru with students or student workers, please contact Abbey Florence to discuss sharing options.


What you'll find in Guru

We piloted Guru in 2023 with the Business & Operations (B&O) units including Human Resources, Information Technology, Finance & Business, Buildings & Campus Operations, and Campus Safety. Prior resources like the Institutional Policies & Procedures Manual (IPPM) have been migrated to Guru and will be maintained here moving forward. Some examples of Guru content include:

We're also in the process of migrating the Public Programs Toolkit into Guru before the site was decommissioned. Check out our Event Logistics card to see the new version of this valuable resource.

Tip: If you're an event planner, add the card to your list of favorites or follow the card to be notified by email each time the card is updated!

Our beta group helped us identify gaps and provided feedback as we’ve planned this rollout. With their insight, we’ve identified the following resources to help you get started after logging in to Guru:

Next Steps for Guru

We hope Guru will be your go-to resource for all internal information, policies, and instructions. You can search through Guru when you're looking to answer your own questions and also share cards when you're answering questions from other university colleagues. All staff and faculty have the ability to view and share cards, search, comment on cards, and ask questions in the system.

Advanced permissions are granted to staff members who will be responsible for creating and editing cards within each unit and/or department. Department leadership should reach out to Abbey Florence to designate Guru authors (also known as knowledge champions or subject matter experts/SMEs) or to discuss provisioning for their department. An orientation is provided to all new authors, and ongoing training sessions are made available.

Next Steps

Our long-term goal is for Guru to be your primary source for all internal employee information.

Our first step towards that goal was centralizing information related to the Business & Operations (B&O) units in Guru as well all university policies. We will work this fall to update the B&O websites to display only information that needs to be externally-facing and link back to Guru for internal employee content. We are also in the midst of a comprehensive review of university policies powered by Guru.

Several departments outside of B&O have already started adding their information into Guru. As additional departments opt in to using the system to centralize their internal content, we'll be available to advise on best practices for migrating content and decommissioning any external websites they are currently using to share this information.
