How to Create a Complaint Document

This document is designed to walk you through how to create a complaint Word ShellDocs document to be used to generate a digital complaint for a violation in the court system.

Best practice: When a new violation is entered into the court system, create a Shelldoc document immediately so that the system can generate a digital complaint when the violation has been issued.

You will need to have access to Word and the ShellDocs folder on the court’s shared drive.

Create the Complaint Document

Open Microsoft Word.

Open a new document.

Select File – Save As.

Save the document with the name cmpXXXX (enter the violation number where the X’s are, e.g. cmp3001).

Save the document to the ShellDocs folder on the court’s shared drive.

Create the complaint document in Word.

Note: If you already have a complaint document set up, open the document, save the document with the new file name, then modify the text for the new violation.

Enter the digital signature fields

Place the cursor near the Affiant signature line in the document.

From the top menu select Insert.

From the Select menu, select Quick Parts.

From the Quick Parts menu, Select Field

Select Field Name: Include Picture

Enter Filename or URL: C:\LTSigs\SigA.jpg

Select “Data not stored with document”

Unselect “Preserve formatting during updates”

Select OK

You will see a box appear with Affiant.

Note: You may see a box with an error message, this if fine also.

Select the box and then right click and select Picture from the menu.

Select the Layout tab.

Select In Front of text for the Wrapping Style

Select Ok

Select the signature box and drag the signature box above the Affiant signature line in the document.

Use the dots to size the signature box to fix above the signature line.

Place the cursor near the Notary signature line in the document.

From the top menu select Insert.

Q: Why did the signature did not print on the document?

A: Open document and reenter the signature merge field.
