Basic Settings

The process returns to the step-by-step approval node

1 Introduction

1.1 Function introduction

Process rollback means that during the flow of the process, you can return to a previous node for re-approval processing. After the process is rolled back, the data changes made by the node leader in this node will be saved, and the process will be rolled back to the specified node.

1.2 Preconditions

  • The approved nodes include the "step-by-step approval" node.
  • The current node has "process rollback" turned on.

2 Fallback settings

  • Rollback Range: Level-by-level approval nodes can be selected.
  • The Rolled Back Data will go Directly to the Current Node after being Resubmitted: After the rolled-back node passes, it will go directly to the first level of the step-by-step approval node (step-by-step approval starts again).


2.1 Fall back to the step-by-step approval node

2.1.1 Roll back other previous approval nodes step by step

You can select and fall back to the corresponding level-by-level approval node to fall back to the specified level. You can select the fallback level (display the corresponding level and the person in charge of the node) and start approval sequentially from the corresponding level.

2.1.2 Return to the current level-by-level approval node

If the current node is a level-by-level approval node and has been approved by the first-level or above supervisor, you can choose and fall back to the approved level of the current node. For example, a level-by-level approval node has level 1, 2, 3, 4, 5, and 6 supervisors. When the level 6 supervisor approves, the application will be returned to the level 1 supervisor. The level 1 supervisor will receive the rolled back to-do and re-apply. After submission, it will be reviewed and approved sequentially starting from level 2.

Three things to note

When the step-by-level approval node turns on "duplication removal," the supervisor of the level being rolled back needs to manually approve (regardless of whether it has been automatically passed by deduplication). Starting from the fallback level, the original deduplication logic will be followed when continuing to approve upwards (if there are duplicates, it will pass automatically).

Definition of deduplication: In the approval process, no approver will approve twice.

Message

Function introduction

Leave a message in the data and contact relevant personnel of Aite

Setup steps

In Application Edit → Add Process → Process Node → Advanced Settings (enabled by default), and the message function can be enabled in the three nodes of the application, approval, and filling. As shown in the figure below, the approval node is used as an example to illustrate how to enable the message function.

After opening the message, in the right column of the data details, you can directly click the input box, enter the content you want to send, and then click the "Send" or "Control+Enter" key to send.

@a member in the message

If you want to (TAG) @ someone in the workspace while leaving a message, you can use the following two methods:

After clicking on the input box, you can see the @ button under the user's avatar.

"@" directly in the input box.

The @ member will receive a reminder in the form of a browser pop-up window, and can also view the @ information in the site message.

Send File

Click on the small file icon and select the file to upload.

If the uploaded file is in image format, you can also preview it.

The mobile terminal supports message reminder.

First, you need to enable the message function in [Extended Settings] - [Reminder Settings]

After turning on this function, if you @ a member in a message, the member will receive a reminder on the mobile terminal

Precautions

  • When an enterprise WeChat user @other members, it will be displayed as the member ID

Collect WeChat(Chinese chatting app) information

Introduction

Users can log in through WeChat authorization to fill in the application form link you shared. After filling it in, you can get the WeChat nickname and WeChat avatar of the person who fills out the form.

Setup steps

Find "Collect WeChat Information" in Add Process → Applicant Node → Advanced Configuration.

After "Collecting WeChat Information" is turned on, when a user opens a link to this application form in WeChat, WeChat will prompt whether to authorize access to his public personal information.

If you have a public account, you can use the function to send information reminders to users through your WeChat public account.

Data Display

If the collected information data source is WeChat, the nickname will be followed by a WeChat icon.

Custom button copy

Introduction

Custom button copy allows the modification of the node operation button copy according to the needs of the process. For example, the copy of the "Pass" button of the approval node can be changed to "I understand."

Functional path

After selecting the node, in **Basic Settings**, find **Custom Button Copy**

The nodes and operation types that support custom copywriting are shown in the following table. After the modification is completed, the modified copy will be displayed when the person in charge of the node operates the process.


Precautions

The button's copy only supports a maximum of 4 characters, and the excess will not be displayed.

Process log

1. Function introduction

Process logs record data operation records, process trends, and operation feedback information, which can help node leaders understand the historical dynamics of data and make clearer operational judgments on the data.

2. How to use

2.1 Function entrance

  1. Select the application and enter the application's [Process Settings] interface.
  2. Select the node that requires open process log viewing permissions
  3. Enter the [Basic Settings] interface of the process node
  4. Turn on the [Process Log] switch

2.2 View operation records

  1. The node leader or data administrator can open a piece of data. On the right side of the data details, you can see the data’s operation records, process trends, and operation feedback at each node, as well as the operator of each action.

  1. Click the wrench button next to a node to view the operator's specific modification records for each field.

2.3 View flow chart

Click the [View Flowchart] button below the process log on the data details page to view the flowchart of the application.

3. Precautions

  1. If the process is modified during the current process processing, some processed processing nodes may be inconsistent with those in the flow chart. If a node in data processing is deleted, no one can view the flow chart.

1 Introduction

1.1 Function introduction

After the applicant submits the application, the applicant is allowed to remind the person in charge of the approval node in the process, thereby improving the efficiency of approval.

1.2 Application scenarios

It can be used in scenarios such as reimbursement approval, leave approval, feedback, and evaluation, etc. For example, during the approval process for opening a work account, after the applicant submits the application for opening a work account, the reminder function is used to remind the supervisor to proceed with the approval as soon as possible so that subsequent work can proceed smoothly.

1.3 Effect display

As shown in the figure below, after the applicant submits the leave application, use the "Nudge" function to remind the person in charge of approval to proceed as soon as possible.

The person in charge of approval receives the "Nudged" reminder on the "To-Do list" interface on the homepage. After expanding "All Tasks", Urgent "Nudged" will be displayed first.

When the person in charge of approval opens the to-do view in the app, "Nudged" will also be displayed with priority, and there will be a purple square to the left of the "Number" marked "Urgent."

2. Setup steps

2.1 Function entrance

Enter the form editing page, click "Add Process" in "Application Edit", enter "Basic Settings" in the applicant node, and turn on the "Allow Reminder" button to complete the function settings.

3. Precautions

  • Only the applicant node can set reminders, other nodes cannot.
