Procedure to Archive Scans
Message/Symptom: "Only xx% left on the hard drive" message
System Affected: All
The archive process removes the Raw Data scans and the Diagnosis Data files from both the local C:\drive and the backup drive and puts them into the archive drive(s). Optovue recommends archivingscans into two (2) external hard drives (One primary, one secondary) or into a Network Drive (NASDrive).
If archiving into the external hard drives, two hard drives are recommended. The first hard drive acts asa primary archive drive that needs to be connected to the Optovue computer all the time. This will letthe user perform change analysis, etc. with the current scan and the archived scan. The second actsas a backup archive drive and can be connected to the Optovue computer during the archive process.
Once the archive process is done, the secondary archive drive can then be stored in a safe place. It isalso best to label the secondary archive drive as an archive drive so as to not be confused with otherpersonal hard drives.
If archiving to a NAS Drive, the NAS drive should be available all the time and it is the responsibility ofthe end user to back up the NAS drive. Otherwise, a secondary external archive drive may beemployed as a backup of the scans. Similarly, the NAS Drive can act as a secondary archive drive andthe external hard drive can be the primary archive drive.
Once the scans have been archived, the application tags each visit with a small letter “a”, and it willautomatically pull the data from the archive drive.
Requirements:
Two (2) external hard drives with the same size capacity. Recommended storage size is1TB or above.
If a network drive is going to be used, create a folder in the NAS drive and map the folderon the server in the Optovue computer. For information on how to map a drive, pleasesee the link below from Microsoft:

Setting up the Archive Drive(s)
Note: If the system has already been configured to archive scans, proceed to section 5.3.
Connect the Hard Drives to the computer one at a time. This way, the hard drives can beidentified properly.
Format the 2 External Hard Drives to NTFS format. In Windows, rename the drives asfollows. One should be “Primary Archive”, the other “Secondary Archive”. Perform thisone at a time to avoid confusion.
Label the External Hard Drives on the outside of the drives to identify which Hard Drivesis the Primary Archive and the Secondary Archive.
Note the Drive Letter for each of the hard drives assigned by Windows. For a mappeddrive, note the drive letter assigned for the mapped hard drive.
Launch the application.
Go to Tools -> User Preference.
Locate the Archive Drive field.
Select the drive letter for the Primary Archive Drive on the drop down menu.
Select the drive letter for the Secondary Archive Drive on the drop down menu.
Click OK.
The Archive Process
Launch the application if it is not open yet.
Click on File -> Archive.
Select the Time Criteria, either:
All (for all Scans)
Specify Time (for a specific time frame: a month, a quarter, etc)
This Week
Today
Once the Time Criteria is specified, click on Search button.
Note: Past scans that have been archived will not show up on the list.
Then click on ‘Select All Patients’ button, this should put a check mark on each patient’s visit.
Click on ‘Start Archive’ button.
The progress bar will go through the number of patients.
After it goes through the list of Patients, the progress bar will disappear. Click on ‘Exit’ button to go back to the main Optovue application.
On the Optovue application, verify that the archived scans have the small letter “a” next to each visit date. This indicates that the scans are located in the archive drives.
Post Archive Maintenance
It is a best practice to perform Disk Defragmenter after the archive scans. This is to optimize the hard drive and to improve the Optovue computer’s performance.
Open My Computer (Win XP) or Computer (Win 7).
Right click on Preload C:\ Drive and then click Properties.
On the Tools tab, click Defragment Now.
On the Disk Defragmenter window, click on Defragment (Win XP) or Defragment Disk (Win 7).
Access Archive Scans with Revue
If there are Revue workstations, you will need to Share the whole Primary Archive Drive for the Revue workstations to see the Archived Scans.
Go to the Computer Window on the OCT Computer, and right-click the Primary Archive Drive.
On the drop down menu, select Properties.
Select the Sharing tab, then click on Advanced Sharing button.
On the Advanced Sharing window, put a check mark on the Share this Folder and name the shared Folder to OCT Archive,
Click OK.
On the Revue Workstation Computer, open a Scan.
It will prompt you to "Browse for Data"
Click on OK, and navigate to the Networking folder and look for the Optovue OCT Computer Name.
Go to the OCT Archive folder, then go to Rawdata folder.
Click on any of the files inside the folders, and click OK.
This will "Train" the Revue application to go to this location every time an archived file needs to be opened.
NOTE: You may have to do this on all Revue workstations.
