2.1 Configuration Prerequisites

Install the ‘Word Print Template’ plugin found in “Anffy Mall” > “Plugin Center”.

2.2 Function Entrance

2.2.1 Creating a Printing Template for the First Time

Navigate to the target application, select “Extended Settings” > “Print Template”, and click on “Create from Word Template”.

If other printing templates exist in the application, select “Create New Template” in the upper right corner.

2.3.1 Create Word Template

  • Edit the template's content and style in a local Word file.
  • Click "Create from Word Template" and "View Field Comparison Table" to find and insert necessary system fields into the local Word file.
  • Field codes include "field code," "QR code," and "barcode code." Single, multiple, dropdown, and picture selection fields support printing all or only selected options.
  • Ensure accurate copying and use of field codes for proper field value retrieval.

3. Precautions

  • Multiple Values: Fields like multiple-select, member, and department will display and print each value separated by a comma (",").
  • Picture Selection Fields: Only the image is displayed when printed, not the option name.
  • Multi-line Text Fields: These won't automatically paginate. Excess content will be displayed on the next page.
  • Hidden Fields: In process nodes and data tables, hidden fields will not be printed.
  • Field Codes Consistency: Ensure they match the field comparison table; incorrect codes will fail to retrieve field values.
  • Customizable Fields: Attachment upload, image selection, handwritten signature, QR and barcode codes in the printed file can be modified. The size unit is millimeters.
  • Unsupported Fields: Description text and rich text fields do not support printing.
  • Enterprise WeChat Limitation: Inserting applicant, member, and department fields is not supported.
  • File Size Limitation: Word printing template files must be within 2MB, and images in attachment fields within 16MB.
  • External Attachments: If the attachment URL is from an external server, only the URL will be printed, not the image.

Customize Print File Title

5 Function Introduction

Users can customize the PDF file name in the print template and insert form fields for distinction.

6 Applicable Scene

  • Useful for differentiating files like Employee Information Form, Sales Order Entry, Contract Management, Travel Applications, etc.

7 Setup Steps

Navigate: [Edit Application] > [Extended Settings] > [Print Template].

Example: Insert "Employee Name" fields into the file name.

Post-Template Printing: Re-publish the application to activate the template.

8 Achieve Effect

Single Data Printing: The downloaded PDF file name appears as specified, e.g., "Wang Qiang, Academic Affairs Office".

Multiple Items Printing: In the compressed package, each file's name reflects the specific details like "Wang Qiang of the Academic Affairs Office" and "Li Ming of the Administrative Office".

9 Precautions

File Name Length: Due to Alibaba Cloud limitations, long file names are truncated, with the final character count varying across operating systems.

Default File Name: Used if no file name is specified.

Unsupported Fields: Updating files, sheets, rich text, description text are not supported in field insertion.

Administrators can set the usage scope of custom printing templates for data management, report-data tables, and process nodes.

11 Scope of Use

2.1 Data Management

All custom printing templates are usable in the application's "Data Management" interface.

2.2.1 Location of Use

Setting Location: Enable printing for data tables in reports. Check "Printable" to add custom templates.

Usage Location: Select the required template in the "Data Details Pop-up Window" > "More" > "Print".

Functionality Activation: Enable the printing function for data tables in reports.

Custom Template Addition: Check the "Printable" option to include a custom printing template.

Default Option: System templates are available by default for printing.

Custom printing templates support a range of customizable configurations, including template name, text, field insertion, QR code/barcode insertion, data view QR code insertion, and style editing.

13 Setup Steps

2.1 Create and Name a Template

"Click to create" > "Enter template name" > "Next step".

2.2 Insert Field

  • Choose a cell in the table and click on the field to insert it.
  • The fields in the list represent field values. For instance, placing the "Exit Date" field will display as "{Exit Date}" in the design interface, showing the actual data value in the printed document.
  • Once a field is inserted, the cell is locked for editing, which can be re-enabled by clearing the content.
  • Supports both form fields and system fields.

2.3 Insert field QR code /barcode

Insert QR codes or barcodes for specific fields. Scanning these codes will display the related field content.

Barcode Type: Code128, with generation restrictions. Suitable for English, numbers, and common English symbols.

Barcode Length: Adjusts according to field value length. Ensure sufficient space for longer barcodes.

Aspect Ratio: Avoid a 1:1 ratio to ease scanning.

Functionality: When the responsible person for a to-do task scans this QR code, they can access and process the to-do data.

Selection: In the system field, choose the option to insert a "Data View QR Code".

Functionality: Scanning this QR code allows viewing of corresponding data, subject to data viewing permissions:

Data Management Rights: The QR code printed in all data can be viewed by members with these rights.

Data Table Viewing Permissions: The QR code in the data table can only be accessed by members with the appropriate permissions.

14 Edit Style

Styling: After inserting the required fields, utilize the template editor's functions to style these fields.

Editor Tools: The editor provides various options to customize the appearance of the inserted fields.

15 Paper Settings

Customization: Set the paper size and orientation as per your needs. Common sizes like A3, A4, A5, and B5 are provided by Qingliu.

Personalization: There is also an option to customize the paper size according to specific requirements.

4.1 Row Height Settings

  • Dynamic Row Height: Advisable for automatic adjustment according to the cell's content volume, ensuring full content visibility.
  • Fixed Row Height: If used, excess content beyond the set height will be hidden.

4.2 Save Template

  • Saving Requirement: Each time a printing template is edited, it needs to be saved.
  • Publication: After saving, the template won’t be immediately usable. The application requires republishing for the template to take effect.

16 Precautions

  • Invisible Fields: Fields set to invisible will not be displayed in the printout.
  • Cell Editing: Each cell can only contain one field. Editing a cell post field insertion invalidates the parameters.
