- Via Sabra does not work on the Sabbath weekend, which is Friday & Saturday
- Via Sabra is usually pretty responsive and easy to work with, responding the day after our requests
- We can use Maayan’s WhatsApp if the tour is upcoming and we haven’t heard from them in 2 days
- They don’t like when we contact their guide but they are ok with clients contacting them
- We have a shared tracker with them, keep it updated because they rely on the tracker too.
- In the tracker you will find a lot of useful information like guide names and phone numbers, tour descriptions and pricing, and car pricing
- All cancellations go directly through Via Sabra and not through guides
- IMPORTANT - On some of the tours clients can chose some add one services, we need to notify Via Sabra about additional services
- Sometimes it’s Via Sabra who asks if clients want to add some services like a luxury service for VIP clients, food tasting fees, transfers, lunch at the guide’s home for Bethlem.
- Based on the kind of client we evaluate if we want to tag CX to ask clients
How to Fulfill
- When a booking comes through our system, we first must review the order; check client’s notes and make sure there are no double bookings, that there are no date/time overlaps.
- Tours with hotel meeting point where we need to send the hotel detail to Via Sabra:
- We request a guide via email at context@viasabra.com and cc: maayan@viasabra.com
- When Maayan is OOO, we can cc keren@viasabra.com instead
- For any urgent requests on a FRIDAY OR SATURDAY, please send a new email with the title "URGENT" or contact the office at info@viasabra.com
- Leave an order note saying guide has been requested with Front link, and add a comment as well to the task and complete
- ViaSabra reply to us with confirmation of the guide ideally within 1 business day, maximum 2
- They will reply to us with confirmation of the guide name ideally within 1 business day, maximum 2
- Partner guides do not have admin access - we DO NOT want to send them an sms or email!
- Check off the sms and email boxes BEFORE assigning
- Find the specific guide's name on the assignment list
- On the righthand side of their row, select the 'assign' button
- Then select the green check mark next to their name - this will accept the assignment on their behalf
- Complete the tasks
- Add assignments to the applicable trackers, you're all done!
