Payroll delivery options overview

Objectives:

Learn about the various delivery options available when you use AllianceHCM to support your company's payroll operations, including FedEx, print-backs, and USPS. Additionally, get details about payroll cutoff and payroll submission timing, which are crucial pieces of information for any payroll delivery option.

What's in this article?

đź’ˇGood to know: To check your delivery settings, or change them at any time, please contact your dedicated Customer Service Representative (CSR). Settings can be updated moving forward or as a one-time change.

Cost will always vary based on location and FedEx charges may increase over time. Please contact your dedicated CSR for more information about what you can expect.

Business days are Monday through Friday.

Delivery delays that are out of AllianceHCM's control are always possible due to weather-related issues, address issues, and remote location issues.


Payroll cutoff and submission timing

  • You’ll see this term used in various places: payroll cutoff is 2 business days prior to your upcoming check date, by 2pm CT.
  • If you run payroll after this point in time (after the cutoff), additional steps and/or fees may be required to get your employees paid on time.

  • Paychecks are typically shipped via FedEx from AllianceHCM the business day following the payroll submit date.
  • When payroll is submitted by cutoff (see definition above), AllianceHCM can guarantee delivery by your check date.
  • If payroll is submitted after cutoff, AllianceHCM cannot guarantee delivery by the following business day without additional steps required by the customers.


Delivery carriers for live checks/vouchers

FedEx

Note: This address cannot be a P.O. Box; AllianceHCM must have a physical address as the FedEx delivery address.

Priority Overnight: Used when clients would like their checks or vouchers to be received between 8:00am and 10:30am (local time) the morning following the ship date.

  • By default, the ship date is set to the business day following the submit date.
  • FedEx and AllianceHCM are not able to guarantee a time a package is received.
  • FedEx begins their deliveries at 8am local each day, which means clients need to have one of these options:
    • A staff member present at the shipping address by 8am.
    • A location where FedEx mail can be delivered safely and securely without human contact (e.g. FedEx pick up station).

Standard Overnight: Used when clients would like their checks or vouchers to be received in the afternoon (local time) the day following the ship date.

  • This options often appeals to businesses that do not have personnel available to receive sensitive packages between 8:00am and 10:30am (local time).
  • If this option is your default delivery setting, payroll will need to be run prior to 2pm CT one business day before check date to ensure delivery by check date; however, AllianceHCM can only guarantee delivery when clients submit payroll at least two days prior to check date by 3pm CT

2 Day: Used when clients would like their checks or vouchers to be received two business days following the ship date by 3pm local time.

  • If this option is your default delivery setting, payroll will need to be submitted by 2pm CT two business days before check to ensure delivery by check date

Saturday Deliveries: For checks printed on a Friday, FedEx will default shipments to depart on the following Monday.

  • You can request a one-time Saturday delivery directly from your CSR if you require quicker delivery in this scenario.

Tracking:

  • You may provide up to three emails listed in FedEx to receive tracking information on FedEx packages. Selected emails will receive an email each time FedEx scans the package after taking possession. To update these, directly notify your CSR.
  • AllPay users with the requisite access credentials can track their FedEx deliveries through AllPay in the Configuration module. Open the Utilities menu and choose Deliveries. The tracking information will have a link as soon as the FedEx label has been created.

Print-back

This is used when client wants to print their own paychecks on their own printer.

How it works: One hour after submitting payroll, you can print live checks and agency checks at your location on check stock provided by AllianceHCM.

Pre-requisites:

  • This feature can only be requested in writing through your CSR or Implementation Specialist.
  • Complete a signature form if you would like the signature to auto populate on the checks.
  • Your company does not pay employees through the Trust Check service. Only checks written on your company’s bank account may be used for the print-back feature.

Cost:

  • No cost for the print-back feature.
  • The first order of check stock is provided by AllianceHCM for free.
  • Subsequent check stock purchase can be made through AllianceHCM via email request.

USPS

To deliver all checks to your employees’ home addresses via USPS, request this change directly from your CSR.

Note: Tracking is unavailable for packages that are mailed via USPS.
