Edit CoA Codes

Codes inherit category operations as well as include their own unique behaviors.

TIPS

  1. Groups cannot have the same name within the same parent category. If codes have different parent categories then users can reuse group names.
  2. Users cannot drag groups into new categories.
  3. Codes cannot duplicate values in the same segment. Therefore, 1010, cannot exist twice in Departments.
  4. Codes cannot have duplicate values across account types. Therefore, 1010 cannot exist in Expenses and another account type like Revenues.
  5. If saves continually fail, try to save incrementally. If saves continue to fail please reach out to support@opengov.com

Edit Description and Code Value

Double click or use the right click menu or actions button to edit a code. Users can always alter the code's description, and only change the value of a code if it is not tied to data. To check this, look for the unused ? icon next to the code description.

Ignore

Like categories, users can user the right-click menu or Actions button to ignore codes. This excludes the code from our chart of accounts reports.

Unignore

To unignore a code, simply use the right-click menu or Actions button and select Unignore.

Group

Group codes by selecting multiple codes and then selecting Group with the right-click menu or Actions button. Users can select multiple codes individually with CTRL in Windows or CMD on Mac. To select a range of new codes, use the SHIFT button on your keyboard. Once a group is made, click and drag codes into the group.

Expand the group by selecting the drop down arrow. Rename the group through double click, like everything else in the application.

Ungroup

Ungroup individual codes by selecting them and using the right-click menu or Actions button. Codes can also be ungrouped by dragging them out of the group into a new location. Users can ungroup the group itself by selecting the group name. This removes the group from the system.

Edit Multiple Codes

Users can select multiple codes individually with CTRL in Windows or CMD on Mac. To select a range of new codes, use the SHIFT button on your keyboard. This lets users move, group, and ignore multiple codes.
