Item Master Data: Search for existing part nrs on SAP
You can search for a specific item on numerous ways in SAP:
Search by Item Code
Search by Description
Search by Supplier Item Code
Search by Supplier Name
To access this "List of Items" database:
Go to Item Master Data Page
Add a * in the first cell (next to Item No) and hit enter
The following "List of Items" database will appear. As you will see in the below screenshot, the little triangle/arrow will appear as default in the first column. If you are searching something by part nr, then simply start typing the part nr in the "Find" cell at the top of the page and it will filter this report to the numbers you are typing in.
However, usually you would use this report if don't have the item code that you are looking for, so you need to use another point of reference.
For example, say you are looking for something that will most likely have the word "Lead" in the description but you don't know what the actual item code is.
To search by description, double click on the "Item Description" header tab so that the little triangle/arrow appears in that column. Now, whatever you search, will search by this column. If we go with the above example of searching for an item code that most probably would have the word Lead in it, simply go to the Find cell at the top of the page and type in *lead* (don't forget to put the * before and after the word. The would make your search more accurate). Please see below screenshot. As you can see, the database has now been filtered to only show the items with the word LEAD in it's description. You can now more easily find the item you are looking for if it already exists on SAP.
Another option is searching by supplier item reference nr. This would typically happen if you are looking for an item but not sure if the item already exists on SAP but you have the supplier item nr that you might have gotten from a quote or the supplier's website.
Double click on the Mfr Catalogue No. header tab so that the little triangle/arrow appears in that column. Then carefully type in the supplier item code in the Find cell at the top of the page. This search is very sensitive and if you don't type in the part nr exactly as it is recorded on SAP, the part nr might not show. For example: RVK 591:
As shown on below screenshot, I typed RVK 591 (it has a space between the k and the 5), and it showed up on my report as shown below:
However, if I type RVK591 (no space between the k and 5) then this number won't show at the top of your report, making you believe that the part does not exist on our system:
Lastly, another search option is searching by Preferred Supplier. Double click on the Preferred Supplier header so that the triangle/arrow appears in that column. Then type in the supplier name in the Find cell at the top of the screen. All the items we source from that supplier will show on the report.
Alternatively, if you would like to run additional filters etc, you can export this report to Excel and then add in your own filters as you see fit.
To export this full report to excel, simply click on the Excel button as shown below and save it to your desktop (or where you see fit)
