Welcome to GPS Renting! Now that you’ve joined our owner family, this checklist will help ensure a smooth start and set your property up for success.

Please complete these steps promptly so we can prepare your home for its next great resident.


1️⃣ Meet Your Pod Team

You’ll be supported by a dedicated GPS Pod Team:

  • Pod Leader – Your main point of contact and strategic partner.
  • RSA (Resident Service Ambassador) – Manages resident communication and service coordination.
  • MC (Maintenance Coordinator) – Oversees maintenance scheduling and vendor management.

We recommend scheduling a short introduction (virtual or phone) with your Pod Leader, RSA, and MC.
Getting to know your team early helps create a smooth, responsive partnership.


2️⃣ Complete the Owner & Property Intake Form

Please complete the Owner and Property Intake Form within 48 hours of receiving it to avoid any listing delays.
The form captures key details such as:

  • Utilities and service providers
  • Warranties, amenities, and access notes
  • HOA information (if applicable)
  • Preferred communication preferences

This ensures our team can market and manage your property accurately from the start.


3️⃣ Provide Keys and Access Devices

Please provide the following to GPS Renting:

  • Two full sets of front-door keys
  • At least one mailbox key
  • Garage remotes, fobs, and gate access devices (if applicable)

🔒 Rekeying Requirement:
For resident safety and liability protection, all homes must be rekeyed before a new resident moves in.

  • Standard rekey (up to 6 locks): $179
  • This cost is an owner expense in Seattle, per city requirements.
  • For all properties outside of Seattle, this fee is initially paid by the owner but later reimbursed by the outgoing resident at move-out.

📸 Mailbox Photo:
If your mailbox is part of a cluster box, please take a photo and email it to your GPS contact so we can identify it easily.


4️⃣ Set Up Your Owner Portal

You’ll receive an email invitation to activate your GPS Owner Portal.
This secure platform gives you 24/7 access to:

  • Property updates and leasing progress
  • Monthly statements and rent disbursements
  • Maintenance invoices and receipts
  • Year-end 1099 forms and summaries

5️⃣ Update Utility Billing Addresses

Please contact your water/sewer utility providers and change the mailing address to:

This allows GPS to receive and review bills before residents do, ensuring timely payments and preventing service interruptions.

  • Electricity and gas accounts will remain in the resident’s name.
  • GPS can temporarily pay water/sewer bills on your behalf between tenancies, if needed.

6️⃣ Confirm Rental Registration (Seattle Only)

If your property is located in the City of Seattle, it must be registered under the Rental Registration & Inspection Ordinance (RRIO).

7️⃣ Verify Homeowner’s Insurance

Contact your insurance provider to ensure your property is properly covered as a rental property.
Ask your insurer to email a Certificate of Insurance naming “GPS Renting” as additionally insured to:

8️⃣ Submit HOA Information (If Applicable)

If your property belongs to a Homeowners Association (HOA):

  • Email us a copy of the CC&Rs and HOA contact information.
  • Continue paying HOA dues directly to your association.
  • Need help locating your CC&Rs? We can assist for $85 (plus any HOA fees).

9️⃣ Prepare Your Property for Listing

Please ensure your home is:

  • Vacant and move-in ready
  • Professionally cleaned (including carpets)
  • Yard maintained and utilities active until GPS confirms listing readiness

Our team will coordinate final cleaning, touch-ups, and professional photography to present your home at its best.
