Canvas: Adding Users to Courses
Review this guide to learn and understand how to add users to current or future courses.
Note: To add users to a course that has ended, email SAS@newschool.edu with the user's email address and access needs.
Banner Import
Certain permission roles in Canvas are managed through an automatic process that connects information in our Student Information System, Banner, with our Learning Management System, Canvas. These roles should never be manually added and are intentionally left off of the list of roles below.
Restricted Roles:
NOTE: To make sure students and faculty are correctly attached to their courses in Banner, these roles should never be manually applied.
- Student
- Teacher
- Teaching Assistant
Any member of the faculty instructing students in a course must be added as a Teacher for the course via Banner.
How to Add Users
NOTE: Users must have a Canvas account before adding them to a course. If an account needs to be created, please send a request to the Student and Academic System team by emailing sas@newschool.edu.
- Access Course Selection
In the menu on the left, go to the Admin section, and select ‘The New School’. - Search for the Appropriate Course
Use the search field in the top right to find the course the user needs, which is most easily found by using the CRN. Once you have found the correct course, click on the ‘+’ button in the rightmost column to add people. - Enter Information
- Add users by email address (not Login ID, or SIS ID). If adding multiple users, separate by comma, or line break.
- Enter the role necessary for the level of access the user(s) need. Reference the table at the end of this card for more info.
- Verify that the section is correct, and click the next button.
- Finalize
Make sure the user info is listed correctly and hit the ‘Add Users’ button to complete the process.

NOTE: Student employee roles must be approved in Workday before being added to Canvas

Academic Fellow | |
Course Assistant | Student employee description: Support teaching and learning outcomes through non-instructional activities. Duties may include: attending class, making photocopies, demonstrating use of equipment, proctoring exams, collecting assignments, assisting with classroom set-up, uploading course content online, tracking students’ participation online, assisting students having difficulty with online environment, and grading of student work. |
Guest | User with discussion & student view access to course. |
Guest Teacher | Temporary instructor role for course review and support. |
Instructional Participant | Instructional designer supporting faculty with building a course. |
Observer | Person with view only access to course. |
Research Assistant | Student employee description: Student will support ongoing research projects and substantive academic tasks associated with course work and/or faculty research. |
Teaching Assistant X | Manually added TA - TAs must be added through Banner import, this role is for temporary use only. |
Teaching Fellow | Student employee description: Teaching Fellows serve as the instructor of record with independent responsibility for the course. Duties include attending all course meetings; reading and grading all assigned coursework; revising syllabus as needed in consultation with appropriate divisional faculty member or Department Chair/Program Director; developing all assignments; and as apprentice teachers and will participate in the University Pedagogy Seminar and new Faculty Orientation. |
