Use Robot to Send Emails

1. Introduction

Customizable Email Templates: Q-robot supports email template customization, allowing for tailored operations based on different scenarios and enhancing work flexibility.

Automated Email Dispatch: Set up nodes and email content in advance to enable Q-robot to automatically send emails.

2. Applicable Scenarios

  • Sending interview notices, meeting invitations.
  • Push messages for suppliers, partners, and buyers.
  • Contacting customers, event invitations.
  • Reminders for online course appointments, notifications for successful customer orders, etc.

3. Setting method

Step 1: Add the 'Q-Robot-send email' node in the application-add process. Proprietary light flow allows switching to SMTP email service, which is not counted against the email quota.

Step 2: Configure email details like recipient/sender, subject, and body. Update the configuration upon completion.

Step 3: The email is automatically sent to the target mailbox at the set node.

4. Payment Related

This is a paid feature, available from the basic version upwards.

5. Precautions

Recipient/Sender:

    • (1) Recipient: Must be set; can include multiple recipients, both fixed and dynamic (like applicants, email fields, member fields, department heads, etc.).
    • (2) Sender: Must be set; only one sender allowed, either a fixed (activated member’s email) or dynamic (optional member fields).

Fields in Email Templates: Supports inserting fields except rich text, plug-ins, and tables.

Attachments: Supports uploading attachments and custom printing templates within the form, with multiple selections allowed.

  • Note: Total attachment size must not exceed 50M; sending emails with attachments consumes upload traffic separately.

4.QA

  • Incomplete Required Fields: If required fields are not filled, the email won't be delivered, but it will count as sent volume. Ensure required email fields are set in the trigger form.
  • Non-Workspace Account as Sender/Recipient: Allowed, but if a recipient is not set, the app won't publish successfully.
  • Enterprise WeChat Users: Do not support inserting applicant, member, and department fields.
  • Process Timeout Time: Manually modified or updated by Q-Robot will be updated simultaneously.
