Enter Time Using Time Blocks
This card is for hourly employees only.
Managers should review Manage Hourly Employee’s Entered Time for assistance.
Student workers, temporary employees, and non-union hourly administrative employees submit timesheets each week indicating their hours worked, also known as "entered time." The below Time Block method allows you to enter your time manually each day or for the week (we recommend daily), and is an alternative to clocking in and out. You may have multiple time blocks in day, such as if you work multiple shifts or take a meal break. You will be required to enter time for each block that you work. If you have already entered your time for the week, you can edit a time block by double-clicking on it.
The deadline for timesheet submissions is every Monday by 9:00 a.m.
Please note that you can work multiple shifts in different positions in one day. The same timesheet will be used and you will need to correctly assign the hours to the position. Review “All Jobs” in your Worker Profile Job Details to ensure that you are entering the correct time for the correct position.
Follow the below instructions to enter your time (step 1) and submit to your supervisor (step 2).
Step 1: Enter Time
- Log into MyDay. See Logging into MyDay if you need assistance.
- Select Menu in the upper left hand side of the screen.
- Select the Time app.
- Click This Week in the Enter Time column.
NOTE: You may be able to enter time in past or future weeks, however, not all weeks will be open for time entry. Contact Payroll at PayrollHelp@newschool.edu if you need to enter or correct time for a week that is closed. - The next screen will be a weekly calendar. Click on any time block under the day to enter time.
- Complete all required fields.
- Time Type: Select "Hours Worked"
- In: Enter the start time of your day or block of time (e.g. time you returned from a break)
- Out: Enter the end time
- Out Reason: Select one of the following:
- "Meal" if you are leaving for a lunch or meal break
- "Out" if you are leaving for the day and/or are taking an unpaid break
- Hours: Will be automatically calculated
- Position: This will automatically default to your “pooled position” - use the drop-down menu to select the position that you are entering hours worked for. If you do not change this selection, you will not be able to submit your timesheet.
- NOTE: Many employees such as student workers have multiple jobs in MyDay and each position is listed in this menu. Please verify you are choosing the correct position in this field.
- Comment: If taking an unpaid break, add the specific reason(s) here
- Click OK.
- MyDay will return to the weekly calendar view and you will be able to see the time block you entered.
There are three statuses:
a. Not Submitted: Time has not yet been submitted to supervisor for approval
b. Submitted: Time has been submitted to supervisor but has not yet been approved by supervisor
c. Approved: Time has been submitted and approved.by your supervisor - The Review button will display in the bottom corner, but do not click unless all time for the week has been added.
WARNING: DO NOT click Review until all time has been entered for the week.
Step 2: Review and Submit Your Timesheet
At the end of the week, you will need to review your time and submit it to your supervisor for review and approval.
- Log into MyDay. See Logging into MyDay if you need assistance.
- Select Menu in the upper left hand side of the screen.
- Select the Time app.
- Under the Enter Time column, select This Week.
- Review the below on your timesheet:
- Confirm your hours are correct for each day and position. If not, refer to Correct and Resubmit Time Entry.
- Check your total hours on the right and confirm the calculations are accurate for the week.
- Ensure your individual time blocks are calculated correctly via below instructions:
- Click on a time block of time worked that you entered on your weekly calendar.
- Click View Details.
- There will be 3 tabs: Reported, Calculated, and History
- Reported: Displays details about worked time
- Calculated: Displays how hours are paid (i.e. regular vs. overtime pay); this is for time worked only - time off blocks will not show any calculations
- History: Displays when the hours were entered, submitted and/or approved. - see Correct and Resubmit Time Entry if the hours are not correct
- Once all of your time for the week has been entered and all information has been confirmed to be correct, click Submit. The deadline for timesheet submissions is every Monday by 9:00 a.m.
