2. Task Delegation
Task delegation
1. Function introduction
You can automatically transfer the tasks and approvals associated with specific applications and application packages to other members of the workspace for processing within a specified period. Unlike the transfer function, once the function is activated, manual task transfer becomes unnecessary. The system will automatically assign the work order to the designated person based on the start time and continue until the specified end time. Of course, you can also manually end the order.
1.1 Applicable scenarios
Task delegation can cover a variety of scenarios, such as:
- take a vacation
- Temporary transfer
- Change of business leader
- …
2. Setup steps
2.1 Function entrance
On the personal center page, select the task delegation column and click Release Delegation in the upper right corner of the page.
2.2 View commission details
On the task delegation page, you can access comprehensive details about both the initiation and acceptance of delegations. These details encompass the initiation time of the delegation action, the principal, the delegatee, the delegation scope, the specified start and end times, as well as the current delegation status.
2.3 Initiate task delegation
- select the delegatee, the scope of the delegated task and the specific delegation time in the task delegation pop-up window .
- You can select one delegate or multiple delegates.
- You can select one or more applications and application packages in the workspace as the scope of task delegation. When task delegation starts, the tasks and approvals you need to process within the selected scope will be automatically transferred to the delegatee. deal with.
- You can choose the start and stop time of task delegation, and the delegation behavior will automatically start within the time interval you set until you manually stop task delegation or the time ends.
2.4 End task delegation
The task delegate can end task delegation in two ways:
- The system will automatically end the task delegation based on the end time set by the delegate.
- On the task delegation page, the delegate can manually end the delegation behavior by clicking End Delegation in the delegation status column of the delegation details.
2.5 Interpretation of commission status
Not started: When the client initiates a task delegation request, but the start time set by the client has not yet arrived, the system will not automatically transfer the request within the scope of the delegation.
Entrusting : The entrusting behavior has started, and the system will automatically transfer the applications within the scope of entrustment and for which the entrusting party is responsible to the entrusting party.
Ended: The delegation behavior has exceeded the end time or was manually terminated
by the task principal < br >
3. Message reminder
- When you initiate or manually end a delegation, both the delegator and the delegate will receive a pop-up reminder . You can also view historical notifications in the upper right corner of the workspace interface.
- If you are using WeChat Enterprise, Feishu, or the DingTalk version of Qingliu, when you initiate or manually end a delegation, both the principal and the delegate will receive prompts in the notification list on the PC and mobile terminals of the corresponding platform.
4. Precautions
- When the delegation relationship becomes active, the tasks encompassing to-do, completed, and carbon-copied data within the delegation's scope will be visible and sent under the delegate's name. If the principal designates the node person in charge using department, role, dynamic person in charge, applicant, department head, member field, or department field, the application design data will similarly be displayed and directed to the trustee's name.
- In scenarios where a node has multiple trustees, the relationship between the trustees aligns with the node's or-sign and counter-sign settings. Notably, the trustee is restricted from further delegating tasks within the delegated scope during the delegation period.
- When a delegator assigns the same task to multiple members, those members assume the role of trustees for the task. If multiple principals entrust the identical task to the same trustee, the system automatically eliminates duplicates during the processing of the process node, ensuring the trustee receives only one piece of to-do data.
- Upon the conclusion of the delegation relationship, any newly added to-dos will be attributed to the principal's name and will not impact existing to-dos. Throughout the delegation's effectiveness, actions such as reassigning the person in charge, transferring the to-do list, and rolling back the process to the principal's to-do list will also be transferred under the delegatee's name.
- Regardless of the delegation relationship's status, withdrawal operations remain unaffected by the delegation relationship. If a to-do processing times out, a timeout reminder and its duration will be dispatched and recorded in the name of the actual handler of the to-do. For timeout reminders set to the dynamic node leader, the reminder is sent to the trustee, while those set to a specified member will still reach the intended member.
- In instances where a delegation relationship occurs in the step-by-step approval path, the system exclusively replaces the person in charge of the task delegation without influencing the direction of the approval path. If the trustee is deactivated or deleted, the delegation relationship automatically terminates, and any new to-dos revert to the principal. In cases where a task involves multiple trustees, the delegation relationship between the principal and other trustees persists. The application and node-related permissions of both the principal and trustee are delineated as follows:
The following permissions are consistent between the principal and the trustee: | The following permissions will not be delegated to a trustee |
Apply for data permission | The message was reminded by @ |
Approval and filling permissions | Apply report editing permissions |
CC data | Management permissions for all data |
Print template | Visible permissions for apps in the app list |
Batch operation | Report visibility permissions |
Timeout reminder | Associated report visibility permissions |
- | Custom reminder |
- | Electronic signature |
