Sales - Withdrawing a lead
When a lead does not proceed for whatever reason, communication is key. It is imperative the below process is followed to ensure we do not miss an opportunity we could have converted to a lead.
- The withdrawal of a lead needs to be agreed on during the respective sales manager's weekly tracker meeting.
- The file needs to be checked by the Quality and Coaching Manager (JD) to confirm that it is not something LA can accommodate.
- There needs to be clear communication between LA and the client as to the reason/s why we are unable to help them. Send an email to the client, confirming that you're not proceeding (for whatever reason), but that you're available to assist should the situation change. Use the shared email template called "TO CLIENT - Withdrawal". There are three options within this template, depending on why the deal is being withdrawn. CC your LT into this email.
- If the deal is from a partnerships lead, a separate email is to also go to partnerships in all cases, to inform them of the withdrawal, which they can discuss offline with referrers.
- The file needs to be amended in the LAB so that it's stage reflects 'Withdrawn' - this is the same as changing to any other stage (select from the drop down menu in the top right corner).
- Send an email (Shared email template, called 'INTERNAL - Withdrawn Loan' to Bill, JD, Jo Hu, and relevant State Manager, covering the below points regarding the withdrawal:
- Client name (individual names & entities if applicable).
- Loan amount
- Reason for withdrawal
- Confirmation if this withdrawal has been approved by the quality & coaching manager (JD) – include the date this approval was given.
- Confirmation if this withdrawal has been approved by either the state manager or the head of distribution (Jo Hu) – include the date this approval was given.
- Paste written approval email below on withdrawn tracker and upload written approval email to MyCRM notes (pin to deal).
- Set a nudge date if client wishes to discuss at a future date and set task reminder on MyCRM (nurture).
