How Do I Import A Journal Entry Into Financials

There are two steps to import a journal entry into the financial software:

Step 1: Setting Up the JE Import Template:

An excel journal entry import template can be created by using the following criteria:
1) The above screenshot displays the column headings. There can be no variation in headings nor can additional columns be added.
2) Column A, "Account Number", can contain dashes or not.
3) Column C, “Amount”, will be a positive number for debits and credits will be a negative number.
4) All Columns need to be formatted to "General" not "Accounting".
5) The file name must be generic_ss.txt or it will not create a journal entry.
6) The file can be saved where ever you would like as the system will allow you to browse for the file or drag and drop the file into the import screen.

Step 2: Importing the File

Navigate to General Ledger > Journal Entries > Import JE’s-External Source. Either select the file or drag and drop the file into the selection area. Click on the “Refresh File List” to see the file. The file must be named generic_ss.txt and if you need to rename the file right mouse click on the file and select “Rename”.

Click the back arrow button to advance to the “JE Interface” screen.

Use the dropdown arrow and select the “GENERIC” import template then click the “Submit” button.

Complete the “Journal Entry Controls Add” screen then click the “Submit” button to create the journal entry.

The imported journal entry will be located in General Ledger > Journal Entries > Journal Entries where you may review, validate and post the journal entry.
