Calculating Honour Roll for Grades 7 to 9 Classes

PowerSchool does not currently have any reporting process to calculate honour roll within the system itself. The following steps will guide you through the process of exporting PowerSchool data and pasting the values into an Excel spreadsheet that has been setup to calculate honour roll based on school criteria.

*NOTE: this process only includes traditional grades (%) and does not include letter grade courses (EPAL). However, if your school would like to include letter grades, you can generate a separate PowerSchool report afterwards to help you eliminate students that do not meet the honour roll criteria.

  1. Login to PowerSchool for Admins.
  2. Click System Reports from the left side menu (it is not necessary to select any students).
  3. Click on the Enterprise Reporting tab.
  4. Navigate to the Grades group and click on Current Grades v(1.7).
  5. Double check that the School Year field at the top of the page is showing the current school year.
  6. Click the Run Report button at the top of the page to generate all of the primary school data.
  7. Click the dropdown menu where "Primary Report" is displayed and select the applicable report for your school (considering the grade levels and reporting periods available at your school). This will filter specific data that applies to the selection you make.

  8. Verify that the filters are matching the grades and terms that you selected before moving on.

  9. Once the data has filtered and reloaded on the page, click the Actions button and choose Download.
  10. Choose the .CSV format for the download. The file should begin to download to your specified folder (usually the Downloads folder).
  11. Next you will need to download your own copy of the Honour Roll Calculator excel file which is located in Teams: ECS > AdmDO-All Schools > Files > Honour Roll Calculator.xlsx
    To download your own copy, simply hover over the file and click the ellipsis (3 dots), then click Download (the file will usually be saved to your Downloads folder).
  12. Now you will need to open both files that have been downloaded (both will open in Microsoft Excel).
  13. Navigate to the file that contains the exported data from PowerSchool, select and copy all of the data EXCEPT for the column headers.
  14. Now navigate to the Honour Roll Calculator file. RIGHT-click on cell B5 on the "Grades" sheet and choose Paste Values (the clipboard with digits 123).

  15. NEXT, navigate to the "Analysis" sheet and refresh the data by RIGHT-clicking on cell K6 and choosing Refresh.

  16. Now check the Honour Roll criteria listed at the top of the C column. Make any necessary changes and view the filtered results in the blue section of the data (columns A to H).



*NOTE:
If you need a report that will help to incorporate letter grades (EPAL), you will need to select the students in PowerSchool that qualify for the Honor Roll based on the calculations that you just performed. Then either go to:
a. Print Reports and select the applicable Outcomes Summary report from the list; -OR-
b. Generate a Student Report Card - System Reports > PowerSchool Report Card (DO NOT archive).

You will need to do a manual check of EPAL grades.
