Personal Information Collection Statement
PERSONAL INFORMATION COLLECTION STATEMENT
Discovery Bay International School (DBIS) collects and stores the personal data of students, parents/guardians, staff, alumni who have actively registered for and consented to participation in the alumni programme, and prospective students/families.
This data is collected and processed for:
- Administrative Purposes: such as enrollment, attendance, and financial management.
- Academic Purposes: such as assessment, reporting, and curriculum delivery.
- Pastoral Purposes: such as student wellbeing, medical information, and disciplinary actions.
- Alumni Purposes: such as networking and events.
DBIS processes this data in accordance with applicable data protection laws and the school's Personal Data Handling Policy. The school implements appropriate security measures to protect this data from unauthorised access, use, or disclosure. DBIS retains this data only for as long as necessary for the stated purposes, or as required by law. Individuals have the right to access, correct, or request deletion of their personal data, subject to applicable laws and school policies. When transferring personal data across borders, DBIS implements appropriate safeguards to ensure a similar level of protection as provided within Hong Kong.
DBIS collects various types of personal data, including but not limited to:
- Contact Information: Names, addresses, telephone numbers, email addresses.
- Academic Records: Grades, teacher comments, attendance records, academic assessments, transcripts and reports.
- Medical Information: Medical history, allergies, emergency contact details.
- Identification Information: Passport details, student/staff IDs.
- Financial Information: Payment details, fee records.
- Behavioural Information: Disciplinary records, pastoral notes.
- Digital Data: IP addresses, website usage data, digital file storage.
Personal data will be handled by relevant DBIS or HKR International Limited (HKRI) staff, will be treated as confidential, and will be stored securely.
DBIS may disclose some of the data to third parties such as agencies (including the Hong Kong government), service providers and contractors (whether within or outside Hong Kong) appointed by DBIS to undertake some of its administrative, academic, pastoral or alumni functions. This includes transferring information between DBIS, Parent Teacher School Association (PTSA) and HKRI as required. This data sharing with HKRI will end in August 2025.
DBIS or HKRI will not disclose any personal data to external bodies or organisations unless:
- the third party has been evaluated and approved by the school for safe data handling;
- such disclosure is expressly provided for under this statement;
- permitted to do so by the student or his/her parent/guardian; and/or
- permitted or required to do so by law.
DBIS may use personal data to send communications to parents and students through newsletters, SMS and email. Parents are asked to opt in to receive such communications as some of the materials may be deemed to be direct marketing as defined by the Personal Data (Privacy) Ordinance of Hong Kong.
DBIS may publish, from time to time, student/staff photos, names, work, activities and/or accomplishments in advertisements, publications, DBIS websites and on social media services.
In accordance with the Personal Data (Privacy) Ordinance of Hong Kong, individuals have the right to:
- Access their personal data held by DBIS.
- Request correction of any inaccuracies in their personal data.
- Request information regarding DBIS’s policies and practices in relation to personal data.
- Request to have their data removed from DBIS or HKRI systems
DBIS encompasses all organisations run by the school, including the PTSA and DBIS Alumni.
