Security and Log-on Settings

Enabling Security


Access Settings

  • Close PostalMate & CashMate
  • Open PM Utilities (Main Workstation)
  • Click Security Settings

Add / Edit Users

  • Go to General Security tab > Add/Edit Users
  • Select Add (new) or Edit (existing)
  • Each user must have a password
  • Add all users before enabling security

Log-On Options

  • Log-on can be used with or without Security

PostalMate Log-On

  • Tracks who processes shipments
  • View in Package History > General Info (User)

CashMate (POS) Log-On

  • Tracks sales, voids, cancellations
  • View in Reports > System Wide > Event Log

Notes

  • Log-on carries from PostalMate → POS (same station)
  • Required for stored credit card transactions
  • Optional: use password or fingerprint

Once you have the desired settings, go back to the General Security tab and begin giving system Access Rights.

Set Access Rights

  • Go to General Security tab
  • Assign per user:

Universal Access

  • Full access (recommended for owner/manager)

Custom Access

  • Check boxes to allow access to specific areas
  • Unchecked = no access

Enable Security

  • Check Enabled → Click OK
  • Log in with a Universal Access user

Confirm warnings to activate

Break Security (If Locked Out)

  • Close programs → Open PM Utilities
  • Go to Tools > Security > Break Security

Access Rights

  • Billing and Late Fees : Opening, closing and editing accounts. Printing, re-printing statements. Credits, payments, deposits and late fees. Editing statement groups.
  • Configuration: PostalMate settings, Email notification settings, Register settings, Sales tax settings, shipping settings.
  • Data Maintenance: Department mapping, adding and making changes to mailbox inventory and entering existing accounts. Set department order, restore backup, undelete tax regions, network station settings.
  • Disbursement: Manual buy postage for Printable postage.
  • Inventory: Adjust Inventory and Receive products.
  • PCS Auto Login: PostalMate website auto-login.
  • Price Override: Override product pre-set pricing.
  • Pricing: Editing, adding or deleting products or departments. Mailbox setup and preferences. Edit shipping carrier, or any rates. Adding or editing Vendors.
  • Register Activities: Cancelling or voiding sales. Opening or closing the register day. No sales, paid outs and voiding register transactions. Accessing customer credit card information (if entered) in Edit Customer.
  • Reports: All reports in PostalMate, POS, PM Utilities and Time Clock.
  • Saved Credit Cards: Allows access to adding and using the stored credit card feature for PostalMate Pay and Cayan Genius credit card interfaces.
  • Security: Accessing Security settings in PM Utilities.
  • Self Serve: Not used.
  • Time Clock Management: Accessing reports and making changes to punches in Time Clock.
  • Users: Adding, editing or deleting Users.

Event Logging (Recommended)

  • PM Utilities → Security Settings
  • Check Enabled
  • View logs: Tools > Security > View Security Log

Key Reports (CashMate)

  • Unresolved Shipment Report
  • Register Voids & Returns
  • Account Adjustment Report -(In CashMate under Reports > Accounts Receivable). This report is available for Credit Accounts, Debit Accounts and Invoice Accounts.
