How Do I Create Account Groups In Financials
Account groups allow a user to view a collection of like kind general ledger accounts. These groups can viewed in the Account Group Inquiry screen by navigating to General Ledger > Inquiries > Account Group Inquiry. Users may click on items within the inquiry screen to navigate from a summary view to a detailed view of the data.
Below is an example of a Property Tax Revenue account group:
There are two steps to creating an Account Group; creating the account group control record and specifying the account group details.
Step 1: Setting Up a New Account Group Control Record
To set up a new account group navigate to General Ledger > Settings > More Settings > Account Groups.
The Work with Account Group Controls screen displays a listing of each account group that has been created. To create a new account group click the + button on the taskbar so that the, “Account Group Add” control screen appears.
Once the, “Account Group Add” screen appear complete both the “Account group” and “Description” fields then click the “Submit” button to save the new account group control record.
Step 2: Specifying the Account Group Details
After creating the account group control record the system will automatically navigate to the Account Group Detail Add screen where you will provide account details for the account group. To specify the accounts in the group enter the fund, department, program and object ranges of the accounts. In addition, you will need to specify the account type.
It is important to note that multiple sets of detail ranges can be added to the account group control record so accounts that may not be consecutive or be of the same account type are included. Once you have completed the specifications for the first Account Group Detail Add screen you will be returned to a blank Account Group Detail Add screen where you can populate another detail group of accounts if needed.
The example below displays the details for the property tax accounts to include and will result in a listing of all property tax revenue account numbers for funds 101 through fund 705.
Click the “Submit” button on your taskbar to save the information.
You will be returned to the, “Work with Account Group Details” where you can view a listing of the Property Tax Revenue’s account group details. Click on this article, How Do I Add Another Sequence of Accounts to an Account Group, for instructions on how to create a new sequence.
To see all of the general ledger account numbers in the account group click the arrow back icon on your taskbar.
On the “Account Group Inquiry” screen, click on the “Accounts in this Group” tab.
You will see a listing of all of the general ledger account numbers included in the Property Tax Revenue account group.
