Number Rounding Control in Budget

This article discusses the Number Rounding Control feature. Number Rounding Control refers to how numbers are rounded in the Budget for calculation purposes. Rounding ensures that numbers are consistent in the system, exports, and datasets.

Overview

Number Rounding Control allows users to choose from the following rounding methods for new and copied budgets:

  • Round up (default)
    • For example, 1.3 becomes 2
  • Round to nearest whole number
    • For example, 1.6 becomes 2 while 1.3 becomes 1
  • Round to 4 decimal places
    • For example, 1.3 becomes 1.3000

The system rounds base amounts, adjustments, and position requests, and then computes proposed amounts. Rounding is also applied to each account string.

Note: Rounding options in the Budget do not have any impact on how numbers are displayed or handled in reporting.

The following list shows the tables in the Budget, along with the columns in each table that contain rounded values:

  • Proposal Summary Table
    • Proposed Expenses
    • Proposed Revenues
  • Line Items Table
    • Base
    • Adjustment
    • Position Request

Rounding in Pre-existing Budgets

Budgets created before Number Rounding Control existed will have the “Round to 4 decimal places” option selected.

Rounding controls cannot be changed in existing budgets. To change the rounding control in an existing budget, you will need to copy the existing budget and select the new rounding control while creating the copied budget.

Note: When copying a budget to change the rounding option from “Round to nearest whole number” to “Round to 4 decimal places,” it can’t be guaranteed that all numbers in the copied budget will have precise decimal values. Namely, user-entered values without decimals cannot be guaranteed to be accurate to four decimal places in the copied budget. However, the following values are guaranteed to be accurate to four decimal places:

  • base amounts overridden by Workforce and cost allocations
  • base amounts from the budget base file where users have entered decimals
  • percentage adjustment inputs

Choose Rounding Control

On the final screen shown while creating a new budget or copying a budget, you have the option to select a rounding method.

Note: Once the budget is created, the rounding control setting cannot be changed without copying the budget, so choose carefully.

Rounding in Budget Exports and Datasets

The Number Rounding Control chosen for the Budget instance is reflected in Budget exports and datasets.
