Enter Time Guide as Student Worker

Worker Profile Overview

The Worker Profile Page contains your continuously updated personal information providing you a quick view of your Job Details, History, contact information and more.

Accessing Your Worker Profile

Step 1: Sign into MyDay and Click on your Profile Picture in the top right corner.

Your Worker profile will provide job details like supervisory organization, position title, manager, and allow you to view and take action on items like updating your personal information, viewing your job history, and much more.

Viewing Your Job Details in your Worker Profile

Step 1: In the top left of your Worker Profile, underneath your profile picture and name, you will see Student Pooled. This is not your title, but rather a description of your overall worker position in MyDay.

To view your title and job description, click the Other Jobs icon located below your name.

Step 2: Clicking the “Other Jobs” icon will change the view of your profile from the default Temporary Pooled view to your job related view.

If you have more than one position, you will see a list of options in a drop down menu when you click on the link. From the list, select the job title from the list for which you would like to view the profile.

The Job Details tab located on the right side of your Worker profile displays important job related information including the organization you belong to, your title, job family and job type.

You will need to know the information about your “other jobs” in order to enter time in your timesheet.

The Organization tab will display your manager’s name (the person who approves your timesheets) at the end of the organization.

Note the title of your Job, the manager associated with the position and your hourly rate. You will need this information to enter time and submit timesheets.

Please note: If you have multiple positions at the university, please pay special attention to these items to ensure that you are entering hours against the correct position.

If the name listed is not your manager’s (timesheet approver), please contact your HR Partner as soon as possible to get your organization corrected. To find your HR Partner, please refer to Find Your HR Partner


Viewing Compensation from Worker Profile

Step 1: From the Worker Profile, click the Compensation tab in the menu on the left side of the screen,

Please Note: The hourly rate shows for the job currently selected.

If you have not selected your job from clicking the
Other Jobs icon, the hourly rate will display as 0.


ENTERING TIME AS A TEMPORARY WORKER

PART 1: ENTERING TIME USING TIME BLOCKS

Step 1: Sign into MyDay and click the Global Navigation Menu icon in the top left corner.

Step 2: Click the “Time” icon.

Step 3: Click “This Week” in the Enter Time column.

Note: You may be able to enter time in past or future weeks; however, not all weeks will be open for time entry. If you need to enter or correct time for a week that is closed, contact Payroll at PayrollHelp@newschool.edu

Step 4: The next screen will be a weekly calendar. Click on any time block under the day to enter time.

Step 5: Select the Time Type “Hours Worked” then enter the start time of your day in the “In” field and enter the end time in the “Out” field.

Total hours will automatically calculate.

Under Out reason, select the one of the following:
a). “Meal” if you are taking a lunch or meal break

b) “Out” if you are leaving for the day, Any other unpaid break, select “Out” and add the specific reason(s) in the Comment section under Details

Step 6: Click the Position field to switch the position type from Temporary Pooled to your hourly job.

The position will automatically default to your “pooled position” so use the drop down menu to select the position that you are entering hours worked for.

If you do not change this selection, you will not be able to submit your timesheet.

Once finished, click OK.

Notes to Keep In Mind when Entering Hours

You will be required to enter for EACH time block that you work.

If you have already entered your time for the week, you can edit a time block by double clicking on it.

Please note that you can work multiple shifts in different positions in one day. Enter this time on the same day using the same timesheet by correctly assigning each time block.

If you use the time block method, it is recommended that you complete Part I on a daily basis.

The deadline for timesheet submissions is every Monday by 9:00 a.m.

MyDay will return to the weekly calendar view and you will be able to see the time block you entered.

There are three statuses:
a. Not Submitted:
Time has not yet been submitted to supervisor for approval

b. Submitted:
Time has been submitted to supervisor but has not yet been approved by supervisor

c. Approved:
Time has been submitted and approved.by your supervisor.

The Review button will appear in the bottom right hand corner of your screen.

DO NOT CLICK REVIEW until all time has been entered for the week.

Step 1: Sign into MyDay and click the Global Navigation Menu icon in the top left corner.

Student Workers have multiple jobs in MyDay and each position is listed in this menu. Please verify you are choosing the correct position in this field.

Pro Tip: Review “All Jobs” in Worker Profile Job Details to ensure that you are entering the correct time for the correct position.

Once finished, click OK.

PART 2: REVIEW & SUBMIT YOUR TIME TO YOUR SUPERVISOR

Overview: If you use the time block method, it is recommended that you complete Part I on a daily basis. At the end of the week, you will need to review your time and submit it to your supervisor for review and approval.

Step 1: Sign into MyDay and click the Global Navigation Menu icon in the top left corner.

Step 2: Click the “Time” icon.

Step 3: Under the Enter Time column, Click “This Week”.

What to Review before Submitting Time:

  • Check your hours for each day -- are they accurately entered?
    • If not, refer to the next section: Correcting and Resubmitting Time Entered.
  • Check your total hours on the right side and confirm the calculations are accurate.
  • Check that your individual time blocks are calculating correctly.
    • Step 1: Click on a time block of time worked that you entered on your weekly calendar.

  • Step 2: Click on the gray button titled “View Details”.

There will be 3 tabs: Reported, Calculated and History.

Reported - displays details about worked time

Calculated -
displays how hours are paid (i.e., regular vs. overtime pay) This is for time worked ONLY -- time off blocks will not show any calculations

History -
Displays when the hours were entered, submitted and/ or approved. If the hours are not correct, see the section in this document titled Correcting and Resubmitting Time

Submitting Your Time To Your Supervisor:

The Review button will appear in the bottom right hand corner of your screen.

DO NOT CLICK REVIEW until all time has been entered for the week.

Step 3: You will be required to click Submit to confirm. Only Click Submit if you have entered all your time worked for the week and assigned it to the correct Position. Note: The deadline for timesheet submissions is every Monday by 9:00 a.m.


Correcting and Resubmitting Time

Overview: In MyDay, you are able to correct time on your electronic timesheet that was already submitted to and approved by your supervisor, as long as the payroll period is not closed. To modify previously reported time, follow the steps below:

Step 1: Sign into MyDay and click the Global Navigation Menu icon in the top left corner.

Step 2: Click the “Time” icon.

Step 3: Under the Enter Time column, Click “This Week”.

Step 4: From the Calendar View, click on the date you would like to edit.

Step 5: You are able to edit the In/Out Times, the Out Reason. You can also choose to delete the time block entirely at the bottom of the window

  • After the changes are made, please enter a comment of the reason and Click OK.
  • You will then need to click Review at the bottom of the screen for your manager to approve the corrected time.
  • Review the hours in the pop-up screen and Click Submit

If you do not go through all of these steps, the time will not be processed for payment.


Viewing Timesheets sent back from Supervisors

Step 1: From the home page, click the Inbox icon to the top right of the screen.

Step 2: Select the Time Entry inbox item.

Step 3: Click the Gear icon on the upper hand corner and then click “View Details”

Step 3: Click the Process tab to view any Send Back comments from your supervisor. The Send Back Reason will be in the Comments column in the table.

  • To revise time, Click Revise in the “Awaiting Me” column in in My Actions tab. This will take you back to the timesheet calendar to revise time, when applicable.
