1 Introduction
1.1 Function introduction
The address book is structured around enterprise organizational hierarchy, role assignment, and management. It also facilitates the management of workspace members.
1.2 Application scenarios
This can be utilized in various scenarios such as enterprise architecture management, role management, form member field referencing, process review CC, etc. For instance, in enterprise architecture management, the address book effectively manages workspace member structures and permission information.
2. Setup steps
2.1 Function Tab
Navigate to "Contact" on the left navigation bar and click to enter the floating window contacts operation page on the right.
2.2 Configure address book
2.2.1 Invite members
When inviting members, four methods can be employed: search invitation, batch invitation, link invitation, and QR code invitation.
Method 1 :
Search invitation:
Click "Add Member" in the upper right corner of the floating window, select "Search Invitation," enter the invitee's email address, click "Search," then "Send Invitation Email," and await the invitee's confirmation to add members.
Method 2:
Bulk invitation:
Click "Add Members," select "Bulk Invitation," enter the invitee's email address and other information in batches, following the format prompts, then click "Send Invitation," and wait for the invitee's confirmation.
Method 3:
Link invitation:
Click "Add Member," select "Link Invitation," and send it to the invitee via "WeChat Scan" or "Copy Link," waiting for the invitee's confirmation to add members.
Method 4:
Invitation code invitation:
Click "Add Member," select "Invitation Code Invitation," click "Copy Invitation Code," and send it to the corresponding invitee, waiting for the invitee's confirmation to add members.

2.2.2 Add department
After clicking "Add Department" in the address book, set the department name, department head, and department icon, then click "OK" to complete the settings.
Anffy also supports creating sub-departments in the target department or adding members to the target department. Select the target department, click "Add Sub-Department," and configure the sub-department information to complete the creation.

2.2.3 Set up department heads
Select the target department, click the "Position" option of the target member, and switch the position to complete the setting.
2.2.4 Add direct supervisor
Select the target member needing to add a direct supervisor, click "Member Information," and add a direct supervisor to complete the setting.
2.2.5 Adding roles
Roles can be used to flexibly group enterprise members across departments and functions. This is convenient when maintaining the node leaders of later process nodes.
Select "Role," click "Add Role," and configure the role name and icon to complete the role creation.
To add members to the role, select the target role, click "Add Member," and select the member to complete the addition.
2.2.6 Disable members
If you need to restrict some members from entering your workspace, use the member ban function. Select the target member and click "Disable Member" to complete the configuration.
- After a member is disabled, the member can be re-enabled, and the member's permissions remain unchanged. If a member is removed from the address book, a re-invitation is required to restore the member's permissions.
2.2.7 Remove address book
To delete some members of the workspace, use the "Move Out of Workspace" function. Select the target member and click "Move Out of Workspace" to complete the configuration.
- When a member is deleted from the workspace, the member will not be able to receive corresponding to-do messages, carbon copies, and other information.
2.2.8 Contact list search
Use the search bar in the upper left corner of the contact list to search for members, roles, and departments in the Contact list.
3. Precautions
- The invitation member link and invitation QR code are valid for 7 days. They will be automatically updated to new links after 7 days. After the update, the original links will become invalid.
- If Anffy deletes all the members of the self-created role or department, it will be canceled. When the members enter the workspace again, they will not belong to the self-created role or self-created department they were in before the cancellation.
- The "Member" name in the "Address Book" can be up to 200 characters ONLY.
4. FAQ
4.1 How to solve the problem of duplicate "user name" in the address book?
In Anffy, the account information is based on the email address. The email address will not be repeated, but the address book user name may be repeated.
Processing Method
Method 1: Employee work numbers are unique and can be filtered by work numbers. For example, nicknames with work numbers are maintained in the address book.
Method 2: To maintain basic data, use member fields in the basic table to maintain basic information. Even if the names in the member fields are the same, the actual account information is unique. You can match it through the member fields and associate it with the target information.
Example: [Basic Data] - The application sets the following fields: name (single line of text), member field, unique value (single line of text).
4.2 What are the differences in the operation priorities between personal center nicknames and address book nicknames?
- The official website version will have the function of adding members. When added, the default is the nickname of the person being added. At this time, the display related to some members in the address book and the system will be the nickname of the personal center. If the administrator manually changes it in the address book After the member's name, the member's nickname display in the system will be based on the modification in the address book. The display priority is Address Book > Personal Center.
- The nicknames of members synced from the address book of the Anffy default to the address book nickname.
