Cartwheel Therapy Services for School Staff

We are excited to be offering virtual mental health services for your school/district!

Our therapists use evidence-based techniques to support you and your mental health in whatever ways are most meaningful and important to you.

What is Cartwheel?

Cartwheel provides virtual therapy to students, families, and school staff in your district. If you're a school staff member, this means:

  • Individual mental health services: One-on-one weekly therapy with licensed clinicians trained in working with adults, for up to 6 months of sessions.
  • Fast & easy: Through our self-scheduling process, you may be able to see a Cartwheel therapist as soon as 2 days after signing up below.
  • Flexibility to meet your needs: Our diverse clinicians, who speak 10+ languages, can meet with you 8:00 AM - 8:00 PM Monday - Friday and also offer some weekend availability. We accept most insurances and have no waitlists.

Important Information!

Once you book an appointment below, you'll need to take 15 minutes to complete Cartwheel's intake forms via email before your first session. If you don't complete them, we'll unfortunately have to cancel the appointment.

You'll be asked to provide your health insurance information so we can give you a cost estimate for services subject to your coverage and benefits. Please note that your school district does not cover the cost of therapy services and does not know you are receiving services. Instead, each staff member is responsible for payment based on their individual insurance coverage. The average cost of a session is around $20, but depending on your coverage, cost shares can range from a copay of $10-50 to a cost share of up to $120-150 per session if subject to a deductible. These are estimates -- the exact amounts due will be subject to your health insurance plan's coverage and benefits.

Thankfully, Cartwheel accepts most insurances and we offer a great out-of-pocket option for those whose insurance does not cover our services. Our team of care coordinators is here to help if you have any questions about your insurance and your cost shares.

How do I book an appointment?

To book an appointment, please use the links below and click on the state where you intend to be located for sessions (this may be different from your school's state if you're planning on having sessions at home). You'll be able to select your clinician and a time that works best for you. If you have no preference, just use the "No Preference" option! To see the availability for all clinicians in your state, please scroll down to the "No Preference" option.

Important note: If you live and work in different states, please call, text, or email our care coordinators at office@cartwheelcare.org or (617) 272-7439. Clinicians are required to be licensed in the state where you are located at the time of the session, so we need to confirm with you where you prefer to have your sessions to match you with the right clinician.

Frequently Asked Questions

1) Who is eligible?

Staff: Your school district has made this service available to you and all other staff in your district.

At this time, we do not offer therapy to your family members or dependents. Cartwheel’s mission is to be the trusted mental health partner to schools, and our current priorities are supporting students, students’ families, and school staff.

However, if your child is a student in the same district, you can reach out to their school counselor to ask about referring them to Cartwheel.

2) What can I talk to my therapist about?

You're welcome to discuss anything that's on your mind with your therapist. Some issues commonly supported in therapy include, but are not limited to: anxiety, burnout, stress, loss & grief, depression, motivation, anger, coping, trauma, family/parenting, relationships, and sleep issues.

Conditions that are currently not supported by Cartwheel include: urgent or emergency care, primary eating disorders, primary substance use disorders, or active psychosis or mania.

3) What can I expect during a therapy session?

Therapy sessions are generally 50-55 minutes and will focus on you and your needs. The initial session will be an opportunity for your therapist to get to know you and understand what brought you to therapy. You will work with your therapist to set goals for therapy and formulate ways to begin working on those goals.

4) Is therapy confidential?

Yes, in general, most things discussed with your therapist are confidential. Your school district will not know that you are seeing a Cartwheel therapist. All sessions are held over a HIPAA-complaint Zoom platform to protect your privacy.

However, there are some exceptions required by law in which a therapist cannot maintain confidentiality and must report to the appropriate parties, including:

  • Suspected child abuse or dependent adult or elder abuse
  • If they believe you are at serious risk of harming yourself or another person

5) Do you have clinician bios to help me choose a therapist?

We are working on bios for clinicians, but this is not yet available. Please feel free to reach out to our care coordinators to help select a clinician who is a good fit. Email office@cartwheelcare.org or call or text us at (617) 272-7439. Our care coordinators are available from 8 AM - 8 PM ET Monday - Friday as well as 10 AM - 6 PM ET on Saturdays.

6) Will the time that I choose during signup be my regular appointment time?

If your clinician has availability during that time, the time you choose during signup will be your regularly scheduled appointment time. However, there may be cases where your intake appointment is scheduled and then that slot is filled by another patient going forward. We will do our best to ensure that your time is available, but we may ask if you have alternative times that would work best for you and your clinician. In those cases, you and your clinician will work closely together during your intake session to find a new, regular appointment time that works best for your schedule.

When you sign up for your first appointment, you can click through your clinician's calendar using the link above to see if they have that time slot available on an ongoing basis.

7) Will my clinician be supporting any other staff/students at my school? What do I do if I feel uncomfortable about this?

It's possible that your Cartwheel clinician may also be providing support to other school staff or students at your school.

At Cartwheel, our clinicians are trained and empowered to handle cases impartially -- even if two of their patients know each other personally. We maintain strict confidentiality standards and will never discuss your case with anyone (unless you've signed a Release of Information to allow us to discuss information, for example with your primary care doctor).

As always, we encourage you to raise and work through any concerns like this directly with your therapist. However, you do have the option to request a new therapist if you feel you are unable to work it out. Just ask your clinician or reach out to us at office@cartwheelcare.org and we'll handle the rest! Please note that this could delay your upcoming appointment as we search for the right fit.

8) My child has also received services from Cartwheel, can I use the same Healthie (patient portal) account?

No. To ensure that your health information is kept separate from your child's, you should use a different email than the one you used to create your child's account (maybe an alternate email or a work email). If that's not possible, please reach out to us at office@cartwheelcare.org or call/text us at (617) 272-7439 so we can help you create a separate account.

9) I am leaving my position at my school district. Can I continue to receive services from Cartwheel?

Yes, if you are already in care with Cartwheel and leave your district, you can continue seeing your Cartwheel clinician. However, please reach out to us at office@cartwheelcare.org or call/text us at (617) 272-7439 so that we can process your insurance information. If you have insurance that is in-network, we will continue to bill your insurance. Otherwise, a self-pay rate of $120 per session will apply. Our team of care coordinators will work with you to confirm your insurance status.
