Employment Eligibility Verification Guidelines
The United States Citizenship and Immigration Services Form I-9 is used by employers to verify an individual’s identity and eligibility to perform work for an employer in the United States and is officially known as the Employment Eligibility Verification Form. Below you will find the procedure used to complete the form and the timeline for processing.
For any questions concerning these guidelines or the Form I-9 employment eligibility verification process, please contact HRHELP@newschool.edu.
General Form I-9 Guidelines
Individuals seeking employment with The New School are required to complete Section 1 of Form I-9, provide acceptable documents, and meet with an Human Resources representative who completes Section 2 of Form I-9. This process should be completed no later than three (3) business days after their first day of work.
Process Overview
- New hires will receive an email with a link to complete Section 1 of Form I-9 online
- As part of this process, new hires securely upload their required acceptable documents, and schedule a virtual meeting with an HR representative to complete Section 2.
- Note: if the new hire fails to complete Section 1 of Form I-9 and schedule an appointment to present acceptable document(s) by the third (3) business day after beginning to work, they will be required to meet with an HR representative before continuing to work.
- The new hire meets with an HR representative virtually to complete Section 2 and verify their documents.
- The typical new hire timeline will continue to be two weeks and we strongly encourage hiring managers to require new hires to complete the I-9 process prior to their first date of work to avoid any delays or repercussions.
- As a reminder, employees may not begin working until their hiring paperwork has been processed and the employee has been added to MyDay.
Backdating of Form I-9 is strictly prohibited. Form I-9 must be completed and dated within the timeframes specified above without exception.
Failure to complete the Employment Eligibility Verification process within the time limits detailed above is a violation of the IRCA and may subject the university, hiring managers, employee supervisors, and Human Resources professionals to civil and criminal liabilities as well as fines and penalties.
