Video interviews in the Applicant Tracking System (ATS)
Objectives:
The AllianceHCM Applicant Tracking System (ATS) is designed to make it easier to find and hire the right people for your team, including a built-in video interviewing feature that will let you interview candidates anytime, anywhere. The video files get saved into AllPay, the AllianceHCM all-in-one HR and payroll system, so that they're easy to reference anytime during the consideration phase. And if you hire that candidate, then the video file also transfers onto their employee record, which means you have a complete record of your interactions with them right from the start.

Video interviews in the ATS
- Log into AllPay. From the dashboard, hover to open the Onboard menu, and from the Applicants column select Applicants.
- On the Applicants tab, you'll see all the individuals applying for positions. Click on an applicant and you'll see their profile open on the right.
- Click on the applicant's Flags/Events tab, and then click on the Add Event button.
- In the Schedule Event popup, fill out the relevant information and use the Type dropdown to select Video Interview.
- When everything is complete, click on the Save button, which will automatically send email invites out to everyone in the Attendees field, including the applicant.
- You'll be able to see the video interview event on the applicant's profile in the Flags/Events tab under the Events section. There are also options to Show Details, see and edit Attendees, Edit the event (such as changing the time), Download Calendar File, and Show RSVPs.
- Those invited to the video interview will receive an email invite, which includes a link to join the virtual interview. Each attendee can check their video settings before they join, and the interview will be automatically recorded.
AllianceHCM tip: Within 24 hours of the video interview finishing, you'll be able to download the file from the applicant's profile in their Documents tab. And if the applicant continues on through onboarding to become an employee, you'll also be able to download the file from the employee's profile by opening the HR menu, selecting Documents, and then selecting the employee.
Select Applicants from the Onboard menu
Click on an applicant in the table to see their profile
Click on the applicant's Flags/Events tab and then click on Add Event
In the Schedule Event popup, select Video Interview in the Type field and fill out the other information
When all of the information is complete, click Save
You'll be able to see the scheduled video interview on the applicant's Flags/Events tab
The five icons give you options to Show Details, see Attendees, Edit the event, Download Calendar File, and Show RSVPs
Email invites will go out to all attendees
When it's time for the interview, use the link in the calendar invite
You have the chance to check your settings and then click Join
The video interview automatically starts the recording when you join, and you can click on Leave when you're finished
Download the recording of the video interview from the applicant's profile in the Documents tab
