Setting Approval Routing Steps in Requisitions
Objective: To set the approval flow process for each approval limit of a requisition.
Path: Requisitions & POs > Settings > Additional Settings > Approval Routing Limits
- Select the first approval routing limit > Select Routing Steps at the top of the screen
- Select Add New Data
Enter the following:
- Approval Step Number: Each limit has one or more approval steps. For example, Step 1 could approval by a department supervisor. Step 2 could be approval by a department director. Step 3 could be approval by a city manager.
- Type an approval step number and fill in the values. After you click Submit, add the next approval step number for this limit, and so on.
- Route to: The approver who corresponds to the step number you entered above.
- Userid for other (optional): If you selected any Route To value other than Department Manager or Department Supervisor, select the ID of the person who will be the approver for this step.
Email department user when step completed: Indicates that the department user who placed the requisition gets an automatic email when this step is completed.
- Status code when approved (leave blank for no change – optional): Leave blank if this is the last approval routing step for this limit. (This is important – the system only makes the requisition available to the buyer if this value is blank for the last step.)
- Status code when rejected (blank for no change – optional)
Select Submit
Note: ***You must add approval routing steps to each approval routing limit.
What you should know:
- There is no limit to how many steps you can create to each routing limit
- The first two steps are following the instructions placed in the Department Setup. The remaining steps (Step 3 to …) will always go to the same person (I.E. – Finance Director, City Manager…)
