Release Forms & Filming Notices

Release forms and/or notices are required when you are:

  • creating photo and video assets that will be published on a public university platform such as on a website or social media platform
  • collecting student work to publish on a public university platform, such as an online thesis gallery or showcase

Types of release forms and notices

  • Parsons' Photography and Video Release form, which must be signed by individuals:
    • whose work will be captured on camera,
    • who will be on-site and whose likeness will be captured on film (i.e. students and faculty who will participate in a classroom critique, panel speakers at an event), and/or
    • who submit work to be published to an official university platform, such as a blog or social media page.

  • Crowd release notice, which must be posted at an event to alert attendees and passers-by that there is filming taking place and they may be captured on film (i.e. at a public program, an exhibition opening).
  • Location release, which must be signed by both the venue and a TNS representative when the event to be documented is taking place off campus.
  • Flashing lights crowd notice for when a performance or event will featured flashing lights.

TRACKING & MANAGING Release Form Submissions

  • You are responsible for tracking release form submissions for documentation projects that you are leading. For projects led by Parsons Deans Office or M&C, those teams will work closely with you to track release forms.
  • Click here to access the Parsons Photography and Video Release form submission data master spreadsheet, as well as the PDF files of individual release forms that have been submitted.
  • Once photos are edited and finalized, please work with Parsons' Academic Communications team to submit them to the Digital Asset Library. At this time, you will also need to produce a list of participants and a folder of signed releases in PDF form.

Release form term lengths

A signed release form that does not specify an event/activity/project will apply indefinitely for the remainder of the academic year. In other words, if someone signs a release form once and does not specify an event/activity/project, it will apply to any event and/or creative work for the remainder of the year and they do not need to re-sign the form.

    • If a signee prefers that release form terms are limited to a singular event/activity/project, we’ve included fields for them to specify this in our digitized version.

Accommodating Those Who Wish to Opt Out

If someone does not want their work or likeness captured on film, inform the photographer and/or project manager so they can be omitted in the process.

End-of-Year Planning

  • To ensure that photo/video documentation of end-of-year events can take place, and that programs who opt to publish thesis works online are able to, programs should build the distribution of the Photography and Video Release form into the planning process of their respective end-of-year events and exhibitions.
  • If your event will be held off campus, remember to incorporate the location release in your planning with the venue owner.
