The APEX reservation system aims to streamline the booking of amenities for Nox Group employees, ensuring fair access and orderly scheduling. Employees are responsible for respecting the facilities, following reservation protocols, and properly shutting down equipment to maintain functionality, with clear instructions provided for reserving amenities and handling guest visits.

Designed to facilitate seamless reservations of amenities within The APEX, ensuring fair access and an organized scheduling system for all employees.

🧑🏻‍🤝‍🧑🏾 Roles and Responsibilities

As an employee of Nox Group and user of The APEX:

  • Treat the facility with respect
    • Clean up after yourself
    • Return items to their original place
  • When you bring guests:
    • Be present with your guests at the facility
    • Ensure guests follow the rules
    • Follow the Guest Check-In process
      • Assist guests with signing the waiver if needed
  • Reserving amenities:
    • Follow the designated process to book amenities
    • Adhere to reserved time slots and vacate the space promptly to respect others' bookings
    • If unable to attend, employees should cancel their reservation via Outlook as early as possible to free up the slot

How to Reserve Amenities in The APEX

Preliminary Steps
  • Ensure you and your guests (if applicable) both have signed an APEX waiver

STEP 1: Open Outlook on your Computer or Phone

  • Open the Calendar

STEP 2: Creating Your Reservation

  • Click New Appointment in the top left corner (on computer) or the bottom right corner (on phone).
  • Title the appointment whatever you'd like
  • Set your location to one of the following amenities:
    • AZ-APEX Game Room
    • AZ-APEX Mental Health/Card Room
    • AZ-APEX Simulator
    • AZ-APEX Sport Court

STEP 3: Set Time for Reservation

  • Set your start and end time for your appointment.
  • On a computer, click Send; on a phone, tap the check mark in the top right corner when you're finished.

The Sport Court and Simulator have designated time limits for reservations. The Sport Court can be booked for up to 1 hour at a time, while the Simulator can be reserved for up to 2 hours. These limits help ensure fair access for all employees. However, if no other reservations are scheduled, you may book one additional consecutive time slot.

STEP 4: Acceptance Email

After submitting your reservation as an appointment in Outlook, you will receive an email confirmation once your time slot is accepted. This email is only sent for reservations at the Sport Court, Mental Health/Card Room, and Game Room:

⛳ Simulator Only

Follow steps 1-4 above to book the Simulator. Ensure your location is set to AZ-APEX Simulator. At the time of your reservation for the Simulator, you will receive an email with a link to "How-To" videos on using the simulator, along with instructions for accessing it. Since a unique code is required to unlock the simulator—and it changes regularly—be sure to set a reservation each time to receive the most up-to-date code.

In the case your reservation request was denied. this could be why:

  • The area is already reserved during the time you requested
  • The area (Simulator and Sport Court only) was booked past its restricted time limit, please double check your time and resubmit if this is the case

⚠️ IMPORTANT: Properly Turning Off the Simulator ⚠️

To ensure the longevity and functionality of the Simulator, it is crucial to follow the proper shutdown process after use.

Why This Matters:

  • Prevents technical malfunctions and reduces downtime.
  • Preserves the system for all employees.
  • Avoids unnecessary maintenance and potential repair costs.

Before Leaving:

  1. Close all applications opened on the desktop
  2. Lock the computer: Click Start Menu > User Icon > Lock to secure your session.
  3. Power down equipment: Turn off the light switch and fully power down the projector screen by double-clicking the off button.
  4. Report any issues immediately to a member of the Wellness Team.

Failure to turn off the Simulator correctly may result in restricted access to future reservations. Thank you for doing your part to keep The APEX running smoothly!

How far in advance can I book a reservation?

Reservations can be made as far in advance as you'd like. If you are booking out longer time frames please make sure to cancel your reservation if you are no longer able to make it.

How do I cancel my reservation?

Simply delete your appointment in Outlook as early as possible to free up the slot for others.

What should I do if my reservation request is denied?

Double-check the schedule to see if the time slot is already booked or if you exceeded the reservation limit.

What if I notice damage or an issue with the facility?

Report any damage or concerns to a member of the Wellness Team

How do I access the Simulator once I reserve it?

You'll receive an email with a unique code and a link to instructional videos at the time of your reservation.
