Sending a mass email to employees through AllPay
Objectives:
Learn how to use AllPay to send an email communication to a group of your employees. This can be particularly useful for company-wide announcements, events, emergency communications, and more. The sent communications can be see on the employee record in the HR module on an employee's Communications tab.

An overview of how to use an existing email template to send a mass email to a group of employees.
💡Good to know: The mass email communication feature depends on you having the email address of employees saved on the employee record or within their version of MyPay. One easy way to capture employee email addresses is during the onboarding process or through a mass data import.
AllPay has a variety of ways to send communications to employees. You can also send text messages to employees or send an email to individual employees.

Sending a mass email to employees through AllPay
These steps assume you already have the email templates created and saved. See this guide if you need help creating and editing email templates in AllPay.
- Log into AllPay. From the dashboard, click on Configuration from the left menu.
- Hover to open the Utilities menu and select Mass Email/SMS.
- Select your existing email template using the Email/SMS Template dropdown.
- Use the Employee Filter to help find your recipient employees.
- Confirm your Send Email/SMS Type from the dropdown. Emails have three options: Self Serve Email, Work Email, and Home Email.
- Confirm the Reply To email address.
- Use the check boxes to select which employees will receive the email. Use the check box in the dark blue column header to select all employees.
- Click on the Preview button to see the email before you send it.
- When all of your recipient employees are selected, you can click on the Send Emails button. You'll see confirmation about the email send, and this communication will be added to the employee's communication record.

From the dashboard, click on Configuration

Select your email template from the Email/SMS Template dropdown
Use the Employee Filter to narrow down your recipients
Confirm the Send Email/SMS Type and Reply To
Select employees using the check boxes
Use the Preview Emails button to see the email before you send it
Click the Send Emails button to send
