Entering RFIs in Procore


SUMMARY

The GENERAL FOREMAN will enter any RFIs they have received from the field into Procore. The SUPERINTENDENT will then either answer them or escalate.

PROCEDURE

  • Select the appropriate project.
  • Click Project Tools.
  • Chose RFIs under the Project Management header.

  • Click the Orange Create button in the upper right-hand corner.
  • You will see the following screen:

  • Any entry with an orange asterisk is required.
    • Subject Field – Fill out the subject of the RFI. You do not need to include the project number or name in the Subject.
    • Question – fill out as much information as you have here. You can attach any files, and these will be added to the RFI in Prolog.
    • Number - field is prepopulated and should not be altered. (Note: Once the RFI is created in Prolog, the Procore RFI number will be changed to match the Prolog RFI number.)
    • Due Date field automatically is filled out for 3 days after the RFI has been created.
    • RFI Manager will be Michelle Winters and should already be filled in.
    • Received From – Fill your name out here, the Responsible Contractor will automatically be filled out as well.
    • Assignees – The General Foreman will assign the RFI to the Superintendent. If the Superintendent can answer the RFI, they will do that. If the RFI needs to be routed to Micron, the Superintendent will assign it to the Assistant Project Manager who will then open it in Prolog or ProjectSite.
    • Distribution List – As the creator of the RFI, you will receive an email automatically when the RFI is closed. Anyone on the Distribution List will receive emails when responses are added and when the RFI is closed. Add the Superintendent, Project Manager, and anyone else that is on the Project that needs to have the information.
    • While not required, it will be helpful to fill out the Spec Section, Location, RFI Stage, Drawing Number, and Cost Code.
    • Schedule Impact / Cost Impact – Superintendent will fill out if known.
    • Reference – Document Control will enter the Prolog RFI number here once it is created.
    • Private – leave this unchecked unless you only want anyone listed on the RFI to be able to see it. (We do not give clients or vendors permission to see RFIs, so they will not see it even if it is not private.
  • Click Create as Open. If you do not see the Create as Open button, click Create as Draft and let your Superintendent know that it has been created. (What you are able to do here is based on your permissions).
