Xero - Invoice Your Customers

You can quickly and easily create invoices and email customers directly from Xero.

Create an Invoice

In the header, navigate to Business > Invoices > New Invoice. Or, click the quick launch icon and select Invoice.

  1. In the To field, enter the name of the customer you're invoicing. If there's a previously approved or paid invoice for the contact, you can add the last item lines from that invoice to the new one.

    1. It can be a good idea to add a new contact first if you want to complete all of the customer's details.

  2. Complete the remaining invoice details. You must fill out the Due date, Description, Account, and Tax Rate fields to be able to approve the invoice.

  3. (Optional) You can drag and drop the item lines to reorder them.

  4. (Optional) You can attach files to the invoice as an internal supporting document, or to send to your customer to include with invoice.

  5. Click Save to save the invoice as a draft. Or, click Approve to approve the invoice.

Email an invoice

  1. Open the invoice you want to email.

  2. Click Email.

  3. Update the information in the Send Invoice window.
    If you’re sending the invoice to multiple email addresses, separate each address with a comma or semicolon.

  4. (Optional) Select the following options:

    1. Include files as attachments – To include any files uploaded to the invoice as email attachments.

    2. Include PDF attachment – To include a PDF copy of the invoice.

    3. Mark as sent – To mark the invoice as sent.

    4. Send me a copy – To send yourself a copy of the email.

  5. Click Send.

Invoicing Tips

If your company provides services you may want to set them as untracked items to save time on entering description, price, account, and tax rate details.

If your company is GST registered, it is important to know what tax rates apply to your sales, and what information needs to be included in a valid tax invoice.
