How to Add Your Mechanical Shares to works in the Member Portal
Before You Start
- Log in to the SOCAN Member Portal
- Ensure you understand who legally owns the reproduction (mechanical) rights.
- Have publisher information and ownership percentages ready.
Reproduction royalties are paid to the legally registered rightsholder. Your declaration must reflect the legal ownership structure.
STEP 1 — OPEN OR CREATE A WORK REGISTRATION
- Go to Register a Work or open an existing draft.
- Navigate to the Contributor Details section.
STEP 2 — DECLARE THE MECHANICAL (RR) SHARE
In the Mechanical % column:
- If the publisher contractually owns 100% of the reproduction rights, enter 100% for the publisher.
- Ensure the Mechanical % reflects the legal ownership of reproduction rights.
SOCAN pays 100% of reproduction royalties to the registered rightsholder (usually the publisher).
STEP 3 — LINK WRITERS AND PUBLISHERS
- Confirm that each writer is correctly linked to the appropriate publisher.
- This is especially important when there are multiple writers and publishers on a work.
Proper linking ensures the correct writer is associated with the correct publisher.
STEP 4 — IF YOU ARE SELF-PUBLISHED
If you do not have a publishing agreement:
- Declare yourself as the publisher.
- Enter 100% in the Mechanical % section as the rightsholder.
A self-published writer is considered both writer and publisher for reproduction rights.
What Happens Next?
The official registration determines who SOCAN is legally authorized to pay.
Incorrect or incomplete reproduction share information may result in:
- Delayed payments
- Payments sent to the wrong party
- Disputes
Your registration must reflect the legal reality of ownership.
