Guru Email Communications

Email Types

Guru sends notifications via email to users depending on their role and preferences. These include:

  1. Weekly Insights, the weekly digest of new information, described below.
  2. When you receive an Announcement.
  3. When there is an update made to a card you Follow.
  4. New Comments and @Mentions, when there is a reply, when they are resolved, and if they are reopened.
  5. Replies to Questions you have asked.
  6. When you have been shared into a Restricted card.


For those with Advanced Permissions (Author, Collection Owner, Admin), you will receive the above communications in addition to:

  1. When a user requests you Verify an Existing Card, which generally happens when an edit is made to a card in which you are the verifier or you have been assigned to verify a new card.
    1. NOTE: Notifications are not sent when cards have reached their expiration date. You must monitor your Tasks and Weekly Insights emails for general verification upkeep.
  2. When a new Question is assigned to you or a Group you are in.
  3. When you have been shared into a Draft card.
  4. When an Announcement you've sent is read for the first time.
  5. When you export information from Card Manager or Analytics (opt-out not available).
  6. Import and sync notifications (opt-out not available).

Weekly Insights Digest

The Weekly Insights Digest surfaces relevant knowledge users may have missed, keeping them engaged and informed about what's going on at our organization, as well as helps Authors stay on top of their Verification queue. The digest is sent each Monday from notify@getguru.com and tailored to each individual user based on their role, open Tasks, and browsing history.

Criteria

Users receive a digest if they meet all of the following criteria:

  • You are subscribed to Guru's weekly email digest (i.e. have not opted out, described below)
  • You have been a member of a Guru team for at least 1 week.
  • You will see at least 3 new or updated Cards in your email digest.

If the user does not meet this criterion, they will not receive an email digest that week.

Contents

The digest generally contains 3 sections.

  1. Your curated updates: this week's top priorities
    • Updates were made to a Card you follow that you have not yet read.
    • A new card from an Author you follow that you have not yet read.
    • A card you are responsible for verifying that is popular and unverified.
    • A card you verify will expire in the next 7 calendar days.
  2. Cards just for you: your personalized recommendations
    • Cards from the "Recommended for You" section of the Home page that you have not read.
    • A new Featured card that was pinned within the last 2 weeks that you have not yet read.
    • The week's most viewed cards that you have not yet read.
  3. Stay up-to-date: what you may have missed

If there are no eligible cards to display for a section, Guru will skip including the section in your digest that week. If none of the sections contain at least 3 cards, Guru will skip sending you a digest that week.


Manage Email Preferences

You may chose to opt in or out of any of the below email communication types at any time:

  1. Announcements
  2. Comments
  3. Follow a Card
  4. Shared Drafts and Restricted Cards
  5. Questions
  6. Verification (advanced permissions only)
  7. Weekly Insights Digest

The bottom grey box on each email communication from Guru contains a personalized link to manage your email preferences. Click this link to open a window like the one pictured below.

The Opt Out selection for the options pictured below is No, meaning we have not opted out of those communications. Toggle the Opt Out indicator for the appropriate email type from No to Yes to stop receiving that type of notification.

NOTE: We do not recommend opting out of all communications as you will miss important information related to your comments, questions, and activities.

You must have Author or Collection Owner permission to create Guru Cards. Contact your team's Guru admins to use this template.
