MyDay - Frequently Asked Questions

General

What is Workday?

Workday is a next-generation cloud based financial and human resource management software system that we are adapting to the needs of The New School as MyDay powered by Workday to provide university staff with a way to oversee pertinent employee information, time and project tracking, procurement, and financial services. It will simplify many university processes, and also provide employees with direct access to their human resource information including, time tracking, benefits, vacation, leave requests, payroll and many other services. Workday has received much acclaim for the emphasis they have put on user-friendliness. Workday will allow us to streamline our HR and Finance business processes, eliminating many paper-driven labor-intensive processes while creating more transparency and accuracy with on-demand reporting capabilities.

Does Workday affect me?

All faculty and staff members, and student employees at The New School will be able to use Workday via their desktop computer, notebooks, tablets, and smartphones.

When DID MyDay powered by Workday LAUNCH?

MyDay launched in January 2016 with a phased roll out.

WHAT DOES MYDAY (WORKDAY) DO?

MyDay will support core human resource transactions including payroll processes, time tracking, hiring, onboarding, benefits, personal employee information, position management and much more.

Is my personal information secure?

Data on millions of workers in thousands of companies across the US has been stored safely in the Workday cloud.

What browsers is MyDay compatible with? Will I be able to use both a PC and a Mac?

MyDay (Workday) is compatible with most current browsers such as Google Chrome. Mozilla Firefox, Safari and others. It is fully compatible across both PC and Mac platforms.

Time Off / Time Entry FAQ

Can I request future time off if I have not yet accrued the hours?

In most cases, yes, employees can request future Time Off based on future accrual. However, employees hired less than 180 days ago are not yet eligible to Request Time Off.

If I request vacation time during/overlapping paid holiday time, will vacation time still be deducted?

Yes. Time Off will still be deducted. In the case that an employee requests time off that overlaps with paid holiday time, the Manager should Send Back the request asking that the employee correct it. If the request has already been approved, the employee should update the time off using the Correct Time Off business process.

Can a Manager request Time Off for their employees?

Yes. Managers can Request Time Off on behalf of their employees. To do so, please refer to Managing Hourly Employees Time Off and Leave (Managers Only).

What do I do if my manager has not responded to an upcoming Time Off Request?

If a manager is delayed in approving a time off request, you should contact your manager and ask them to review the request. The required approval will remain in the manager’s inbox until they approve or deny the request.


Finance FAQs

WHAT DOES WORKDAY FINANCE ENCOMPASS? WHAT IS INCLUDED?

Workday Finance is the second phase of our Workday project and launched after in July 2016. This project includes financial accounting, financial reporting, asset tracking, accounts payable, and procurement services among others.

Where will current card charges be processed?

All current card charges and purchases through June 30, 2016 will be finalized within Concur Expense. All reconciliation of all older reports must be completed within Concur Expense.

Where will I book Travel?

All travel bookings will remain in Concur Travel. The air and rail charges will move into your MyDay expense reports for reconciliation.

Is there a mobile option offered in MyDay Expense?

Yes, there is a mobile option to create expense reports and upload photos taken on your mobile device. Please refer to Workday Mobile App Installation Tipsheet

Will we still have access to Banner Finance?

Initially yes, but sometime after year-end the information will be made available in the data warehouse

Will there be the ability to migrate the expenses from Concur Travel to MyDay?

Yes, the expenses in Concur Travel will automatically populate in MyDay expense so that you can see a holistic view of your expenses in MyDay Expense.

When a transaction is submitted in My New Source (SciQuest) how quickly will it become visible in MyDay Finance?

Once approved in MyNewSource it will automatically be updated in MyDay.

Will we be able to see our budget lines in MyDayFinance?

Yes, you will be able to monitor your budget through MyDay’s onscreen reporting functionality.

With MyDay is the time frame for a payment decreased?

MyDay will help to streamline payments through highly visible and automated business processes which may decrease payment processing times. In addition, through MyDay we are partnering with Bank of America to manage all of our disbursements. Many vendors will be able to speed up payment and have online visibility to payment status.

Will the FGIBDST Banner module remain, or will it too disappear?

FGIBDST will not remain. Expenses will be viewed in MyDay through custom reports and queries.
