Engage: FAQs

I'm planning an event. Should I use Engage?

No. On campus event spaces are primarily reserved using 25Live. We recommend reviewing the Public Programs Toolkit as you plan your event.

Which rooms can I reserve in Engage?

Review these cards for a complete list of spaces in Engage:

Can Faculty use Engage?

Yes, Faculty have access to Engage but only a small number of rooms are available to them to reserve directly, including 3 rooms in 66 West 12th Street (Alvin Johnson/J.M. Kaplan Hall) and 1 room in 72 Fifth Avenue (Fanton Hall / Welcome Center). View this card for a complete list of spaces in Engage, including any relevant restrictions.

Faculty also have access to the Faculty Resource Center to reserve a space to work as well as the Faculty / Staff lounge, located at the University Center 7th floor (no reservation needed). Faculty may also work with their department administrator to find other academic spaces through 25Live.

Can Students use Engage?

No, students do not have access to Engage because all of the spaces managed by the system are for faculty and/or staff use only.

Students should speak with the administrator for their degree program to reserve a space on campus.

Students may also reserve spaces in the following locations:

  • University Library offers collaboration rooms for students at the List Center and University Center libraries.
  • CoPA Rooms is available to all performing arts students to reserve practice, rehearsal, and performance spaces at 55 W 13th Street.
  • The Making Center is located in the basement and on the second and third floors of the Sheila C. Johnson Design Center at 66 Fifth Avenue and 2 West 13th Street. Some of the labs and studios require a reservation using LibCal and the completion of an orientation.

The mobile app is really hard to use. Can this be improved?

You may find these instructions helpful, which explain how to access the advanced filter and search feature when creating a reservation.

This product is very new and is frequently updated by the developer. We suggest trying the web version by visiting https://www.newschool.edu/engage if you are experiencing issues with the mobile app.

How do I see who has made a reservation in Engage for a particular room?

  1. Select a preferred date and start time for your reservation.

  2. Select the preferred duration for your reservation.

  3. If your reservation start time overlaps with an existing reservation, the name of the person who has the room reserved will appear in the red bar.

The space I want is booked for the time I would like. How do I see when the room becomes available again?

There is not a quick way to see availability for a specific room in Engage. The application is designed to assist you in finding an available desk or meeting room based on search criteria.

Change the start time of your reservation until you find a 30 min block that the room is available. The detail window will display a bar representing availability over the next 4 hours (green means available, grey means booked). The hour label appears in the middle of the hour. In the example below, the conference room is free from 5:00pm-6:00pm and again after 8:30pm.

Is it possible to make recurring reservations in Engage (i.e. repeating holds for the same space at a regular interval)?

No. It is not possible at this time to make a recurring reservation in Engage. You must create individual reservations for each day/time you need to use a space. Spaces may be reserved up to 16 weeks in advance on a rolling basis.
